Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our operations team. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with various computer applications. Prior experience in office administration, customer service, or related fields is preferred, along with familiarity with tools such as Microsoft Office and QuickBooks.
Duties
- Manage front desk responsibilities, to include greeting visitors and accepting deliveries.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Schedule appointments, calendar management, and coordinate meetings using Microsoft Office and work order tools
- Provide exceptional customer service and support to clients in a professional manner
- Assist with administrative tasks such as copying, scanning, and maintaining office supplies
- Support the operations group by reviewing parts and supplies inventory and placing orders with established vendors as necessary
- Support personal assistant functions as needed, including travel arrangements and correspondence
- Maintain organized records and ensure timely follow-up on pending matters
Experience
- Prior clerical or administrative experience preferred
- Demonstrated proficiency with computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry skills
- Experience managing multi-line phone systems and providing excellent customer support
- Strong organizational skills with the ability to prioritize tasks efficiently
- Familiarity with bookkeeping software like QuickBooks is a plus
- Excellent typing speed and accuracy along with proofreading skills are desirable for document preparation
- Previous office management experience is beneficial for handling multiple responsibilities effectively
- Experience in DOT/FMCS requirements/paperwork is a plus
