About Cape Fear Psychological Services
We are a dedicated mental health practice committed to providing compassionate, evidence-based psychological services to individuals and families in our community. Our front office team plays a crucial role in ensuring each client feels supported from the moment they walk through the door.
Schedule (Part-Time)
- Wednesday: 7:45 AM – 12:00 PM
- Thursday: 7:45 AM – 12:00 PM
- Friday: 7:45 AM – 5:00 PM
Key Responsibilities
- Welcome clients, manage check-in, and notify providers of arrivals
- Answer calls and respond promptly to all messages (voicemail, email, text, fax)
- Process referrals, review intake forms, and verify insurance
- Schedule appointments and collect client payments
- Support provider documentation (dictation, transcription edits, diagnosis coding, and questionnaire follow-up)
- Maintain and archive client charts and records
- Perform general administrative tasks (filing, scanning, copying, etc.)
- Keep waiting areas and shared spaces tidy, organized, and stocked
- Manage office supply inventory
- Ensure all client information is handled in full compliance with HIPAA
- Light facility upkeep, including sweeping or clearing outdoor areas (e.g., blowing leaves from the parking lot), as needed
Required Qualifications
- Previous administrative experience (healthcare or mental health preferred)
- Strong organizational skills and attention to detail
- Ability to prioritize and multitask in a fast-paced environment
- Proficient with Microsoft Office and digital office systems
- Strong communication and interpersonal skills
- Professional discretion with confidential and sensitive information
- Ability to occasionally lift up to 20 lbs and assist with basic facility upkeep as needed
