As the initial point of contact for children, families, partners, stakeholders, and visitors, this position ensures a welcoming, trauma-informed, and professional environment.
The Business Support Specialist is responsible for managing all incoming communication to Canopy, ensuring timely and accurate responses, and coordinating the appropriate next point of contact. The Business Support Specialist is responsible for maintaining communication flow, making sure all partners are informed, and that information is current and accessible. Strong customer service, organization, problem solving and communication skills are essential to support the overall operations and coordination of services.

Essential Job Functions
- Greets all clients, families, staff, and guests in a warm, friendly, welcoming manner.
- Daily interaction with children and families while they are at the agency for services.
- Manages and responds to all incoming correspondence (phone, email, in-person), ensuring timely follow-up and coordination with the appropriate staff or partner agency
- Maintains appointment calendar and schedules appointments.
- Enters referrals into database management system as they are received.
- Ensures all partners receive up-to-date and accurate information regarding cases, scheduling, and coordination needs.
- Organizes meeting rooms and maintains schedule availability for each office space and common areas.
- Explains intake paperwork to clients and uploads completed packets into the data management system.
- Maintains flow of cases through the agency and ensures data accuracy.
- Downloads and burns DVDs.
- Participates in continuous quality improvement efforts and system enhancements.
- High school Diploma
- Basic professional knowledge; equivalent to a Bachelor's degree
- Must have some experience working with children and families
- Demonstrated ability to manage multiple tasks and priorities
- Must have excellent computer skills, experience with databases, spreadsheets, and graphs, and above average knowledge of Microsoft Word, Excel, and other related software program
- Must operate effectively as part of a team and the ability to communicate information effectively
- Excellent inter-personal and inter-cultural skills.
