Job Description And Duties

We are located within the California Environmental Protection Agency network of agency partners that are committed to protecting all Californians and the environment. We are looking for a highly motivated and adaptable individual to join our team.

As an Office Assistant (General) you will have the opportunity to:

  • Answer, screen, and redirect main line calls for the Chatsworth Regional Office
  • Greet visitors, determine the purpose of their visit, and direct them to the appropriate staff or conference room
  • Maintain sign-in/out sheets and issuance of visitor badges for emergency purposes
  • Utilize Department of Toxic Substances Control’s (DTSC) e-mail system to reserve, confirm, and maintain master schedules for all conference rooms in Chatsworth’s Regional Office
  • Provide temporary access badges to staff and vendors and ensure they are returned in a timely manner by maintaining a list of temporary access badges that have not been returned
  • Maintain security of the badges, checks, and keys ensuring they are secured and locked up nightly in the safe

Desirable Qualifications We Look For:

  • Strong front desk and customer service skills
  • Proficiency in Microsoft office suite and outlook scheduling
  • Mailroom experience
  • Experience in reprographics operations
  • Organizational skills and cross team collaboration
  • 1 year of Clerical experience desired

Special Requirements

  • The position(s) require(s) a valid California Drivers License (CDL). You must answer the questions addressing your CDL on your application. Ensure you provide your CDL number, class, expiration date, and any endorsements and/or restrictions.

A Statement of Qualifications (SOQ) is required for the hiring manager’s review. Applications submitted without an SOQ may be disqualified.

The SOQ should be no more than 2-page(s) in length, twelve (12) point Arial font, single spaced, and one (1) inch margins.

Your SOQ Should Address The Following:

  • Give an example of when you managed front desk tasks, such as answering calls, greeting visitors, and tracking sign-in sheets while also scheduling meetings or reserving rooms in Outlook or a similar system. How did you stay organized, avoid conflicts, and provide professional, welcoming service?
  • Share an example of when you managed mailroom and copying tasks from start to finish, such as sorting mail, applying postage, preparing shipping labels, and operating copiers or mailing equipment. Include any troubleshooting or vendor coordination you handled to keep things accurate and on time.
  • Describe a time you worked with multiple internal teams to complete an administrative request or resolve an issue. How did you coordinate tasks, communicate clearly, and ensure the request was handled accurately and on time?
