Job Description And Duties
Under the general direction of the Office Manager, and the immediate supervision of a Business Service Officer II (Supervisor), the Business Services Assistant (BSA) independently performs technical and analytical work for a wide variety of business service functions necessary to support an office of over 1000 employees. The BSA will Research information on vendors and other supply sources. Utilize state resources for purchases and services when needed, such as State contracts, CMAS contracts and Price Schedules. Gather and negotiate bids/quotes with vendors. Prepare purchase order forms, CalCard, and ECF Card for acquisition of items, service maintenance, and service agreements from vendors and State contract suppliers. Produce monthly reports to reconcile financial activities of CalCard and ECF Card. Follow up with vendors, review and approve accuracy of daily purchase orders processed, and tracking of all partial orders or lost shipments, goods received and distributed. Review invoices and other paperwork for accuracy prior to forwarding paperwork to Accounting for payment. Coordinate engineering and facility repairs/modifications (electrical wiring, network connection/cabling, lighting, etc.) with DGS Building Management and outside vendors. Coordinate installations, changes and repairs to telephone lines and equipment.
The BSA will independently determine which office supplies are needed by performing physical count and perpetual inventory of general supplies to keep continuous stock of all supplies. Prepare end of fiscal year inventory, expenditure reports, and arrange the proper storage of large orders of supplies and equipment needed to cover until next approved budget. Act as the attendance coordinator to assist with questions, troubleshooting, and monthly time submissions. Coordinate with Personnel Specialists to ensure all health, dental, and vision benefits forms are processed in a timely fashion and in accordance to Personnel Transaction Unit procedures and DPA rules.
