What are the responsibilities and job description for the Accounts Payable Specialist position at Calibre Scientific?
The ideal candidate will have strong organizational skills with the ability to accurately track and record cash flow while maintaining a comprehensive database of financial information. This candidate should be experienced in managing and processing supplier invoices for payment—ensuring all required approvals are obtained—and in posting invoices in a timely and complete manner. They should also be able to identify, troubleshoot, and resolve issues that arise throughout the invoicing and payment process.
Responsibilities
• Receive, review, and route for approval/coding any non-PO supplier invoicing.
• Receive, review, and systematically match any PO supplier invoicing.
• Work with internal customers to resolve PO invoicing issues timely.
• Follow up on outstanding approvals and/or invoicing issues to ensure timely posting.
• Request regular supplier statements to ensure account posting accuracy.
• Works closely with Accounts Payable Analyst and others to prioritize invoices which are overdue and/or supplier issue resolution.
• Investigates problems with supplier transactions.
• Assists suppliers by answering questions related to accounts, procedures, and services.
• Validates sales taxability and updates suppliers with tax exemption paperwork as required.
• Assists with month-end accruals to ensure all outstanding expenses are recorded.
• Assists with audits, banking, treasury, and year end processes as requested.
• Performs other accounting duties as assigned by the Director of Shared Services.
Qualifications
Education/Experience:
Bachelor's degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
Language Ability:
Read, analyze and interpret business, professional, technical or governmental documents. Write reports, business correspondence and procedure manuals. Effectively present information and respond to questions from managers, customers and the public. Working knowledge of/Fluency in the English language (spoken and written).
Mathematical Ability:
Work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Apply concepts such as fractions, percentages, ratios and proportions to practical situations.
Reasoning Ability:
Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills:
To perform this job successfully, an individual should have knowledge of word processing, spreadsheet, and accounting software. SAP experience preferred.
