Overview:
Caliber Packaging & Equipment is seeking a detail-oriented and proactive Operations & Purchasing Coordinator to join our growing team. This role is designed to provide critical support across multiple areas of the business, including purchasing, customer service, operations, inventory coordination, and administrative support.
The ideal candidate thrives in a fast-paced environment, communicates effectively across teams, highly organized and takes ownership of processes from start to finish. This position works closely with sales, warehouse, customer service and leadership teams to ensure accuracy, efficiency, and exceptional service to our customers.
Key Responsibilities
Administrative & Team Support
- Assist with Customer Service : processing orders, order inquiries, shipment updates, and general support
- Coordinate with sales and warehouse teams to ensure excellent customer experience
- Help resolve customer issues in a professional and timely manner
- Provide general administrative and office support as needed
- Collaborate cross-functionally with sales, operations, and leadership teams
- Assist with process improvements to enhance operational efficiency
Purchasing & Vendor Management
- Manage full-cycle purchasing, including issuing purchase orders, tracking shipments, and maintaining vendor communication
- Monitor order status and proactively resolve delays or discrepancies
- Maintain accurate purchasing records and ensure timely receipt of goods
Sourcing & Sales Support
- Assist sales representatives with sourcing products and identifying best-fit vendor solutions
- Support timely quote turnaround by coordinating pricing and availability with vendors
- Build and maintain strong vendor relationships
Inventory & Consignment Management
- Maintain accurate inventory records, including cycle counts and adjustments
- Manage consignment programs, including tracking inventory levels, maintaining ledgers, and processing invoicing
- Ensure alignment between physical inventory and system records
Operations & Shipping Coordination
- Prepare and manage shipping documentation, including bills of lading and order paperwork
- Coordinate with warehouse personnel to ensure accurate and timely shipments
- Support order fulfillment processes to meet customer expectations
Preferred Qualifications:
- Strong attention to detail with excellent organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Proven ability to take initiative and follow through on tasks
- Experience in purchasing, supply chain, or operations coordination
- Familiarity with inventory management and consignment programs
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Experience with ERP systems- Sage/MAS
Pay: $40,000.00 - $50,000.00 per year
