Document Control Specialist I
Full-Time | Onsite | 40 hours/week
Reports to the Vegetation Management Director, supporting the Vegetation Management (VM) Program through data tracking, reporting, and documentation control to ensure operational efficiency and compliance.
Key Responsibilities:
- Generate and distribute recurring reports for VM and supplier leadership, including:
- 10-day goal tracking, after-hours callouts, Fastrack scores & verbatims
- Customer tickets, operations requests, and circuit maintenance audits
- Reactive QA, customer resolution metrics, and work orders exceeding 10 business days
- Track weekly crew activity for VM and DCC teams to ensure alignment with work plans
- Serve as secondary approver for supplier invoices; provide additional invoice support as needed
- Monitor and manage work plans to ensure timely completion of work orders
- Update ARCOS call-out system and coordinate VM planned outages
- Track and manage customer complaints, ensuring timely follow-up and resolution
- Facilitate and maintain Hazard Tree refusal letters and related documentation
- Monitor compliance with computer-based training requirements
- Support onboarding and offboarding processes for suppliers
- Order supplies and develop job aids to support operational efficiency
Additional Responsibilities:
- Support jurisdictional requirements, including:
- Submitting public notice requests and acquiring DOT permits
- Monitoring customer phone lines and ensuring issue resolution
- Creating PDF maps and supporting documentation
Document Control & Project Support:
- Develop and maintain systems to efficiently process, track, and secure project documentation, including vendor, construction, and quality records
- Implement cost-effective solutions for project information and document management
- Coordinate assembly, revision control, reproduction, and archival of construction work packages
- Ensure accuracy and completeness of work orders, drawings, and procedures tied to construction activities
