Job Description
As the Administrative Assistant, you will be the first point of contact for our interior design studio and play a crucial role in ensuring the seamless daily operation of the firm. You will directly support the design team and principals by managing administrative tasks, maintaining the studio environment, and assisting with project coordination. This role is perfect for a detail-oriented individual with an appreciation for design and a passion for organization.
Key Responsibilities
Office Management: Oversee general office administrative tasks, including managing supplies, handling mail, organizing files (digital and physical), and maintaining a clean and professional studio environment.
Communication: Serve as the primary receptionist, answering and directing phone calls, managing the general studio email, and warmly greeting clients and visitors.
Scheduling & Coordination: Manage calendars, schedule internal and external meetings (including client presentations and vendor appointments), and coordinate travel arrangements for principals and design staff.
Design Support: Assist the design team with creating and organizing project binders, preparing presentation materials, compiling and tracking sample libraries, and coordinating with vendors for product information and samples.
Marketing Support: Occasionally assist with social media scheduling or updating website content as directed.
Job Requirements
Qualifications
At least 2 years experience as an Administrative Assistant, Executive Assistant, or in a similar role, preferably within a creative field like interior design, architecture, or marketing.
Exceptional organizational skills and meticulous attention to detail.
Strong proficiency in Google Workspace. Experience with design software (e.g., AutoCAD, SketchUp, Adobe Creative Suite) or project management tools (e.g., Studio Designer, Asana) is a plus.
Excellent written and verbal communication skills with a professional and friendly demeanor.
Ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment.
A proactive attitude and problem-solving mindset.
