A prestigious Architecture firm is seeking an experienced Proposals Manager to lead and manage the proposal development process for our firm in Austin! This role is responsible for coordinating and producing high-quality proposals, qualifications packages, and marketing materials that support the firm’s business development and pursuit strategy.The Proposals Manager will collaborate closely with firm leadership, architects, project managers, and the marketing team to position the firm competitively for public and private sector opportunities. The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple deadlines in a fast-paced environment.
Key ResponsibilitiesProposal & Pursuit ManagementLead the end-to-end development of proposals, RFQs, and RFP responses for architectural projectsManage proposal schedules, deadlines, and submission requirementsCoordinate with principals, project managers, and technical staff to gather content and project informationEnsure proposals clearly communicate the firm’s qualifications, design approach, and project experienceMaintain compliance with client submission requirements and formatting guidelinesContent Development & Marketing SupportWrite, edit, and proofread proposal narratives, executive summaries, and project descriptionsMaintain and update proposal templates, resumes, project sheets, and marketing collateralSupport interview preparation and presentation materials for shortlisted pursuitsAssist with branding and messaging to align with the firm’s strategic positioningPursuit StrategyParticipate in go/no-go discussions and pursuit strategy meetingsConduct research on clients, competitors, and project opportunitiesWork with leadership to tailor proposals to client priorities and evaluation criteriaSystems & Process ManagementMaintain proposal databases, project experience libraries, and CRM systemsContinuously improve proposal processes, templates, and efficiencyTrack proposal activity, wins, and metrics
QualificationsBachelor’s degree preferred but not required3 years of proposal management experience in architecture, engineering, or construction (AEC) industryStrong writing, editing, and proofreading skillsExperience managing complex proposals and tight deadlinesProficiency with Adobe InDesign, Microsoft Office, and proposal management toolsAbility to collaborate effectively with technical professionals and leadershipPreferred QualificationsExperience with public sector RFQs/RFPs in TexasFamiliarity with architecture project delivery methods and terminologyExperience supporting interview presentations and pursuit strategyKey CompetenciesExceptional organization and time managementStrong written communicationAttention to detailAbility to manage multiple priorities simultaneouslyCollaborative mindset
