What are the responsibilities and job description for the Assistant Medical Receptionist Supervisor position at Buffalo Medical Group?
Buffalo Medical Group is seeking full-time Assistant Medical Reception Supervisor to oversee the day-to-day responsibilities and staff for medical reception at our Williamsville and Lockport sites.
As a working supervisor this position also involves checking in patients, updating patient demographics, insurance information, and collecting patient copays.
PRIMARY RESPONSIBILITIES:
* Assists in screening, interviewing and hires for patient representative candidates
- Performs employee evaluations such as yearly reviews, ninety-day reviews and any needed disciplinary actions
- Routinely meets with Reception Supervisor to provide department updates, recommended changes, and discuss staffing issues
- Develops, maintains, and implements a training program for BMG receptionists
- Performs mandatory Epic computer training for new representatives
- Assists in Epic upgrades along with testing new functionality along with Applications and the Revenue Analysts
- Works on optimizing the functions and workflows within the reception process for efficiency
- Responsible for continuing education for all BMG receptionists at main and satellite locations
- Performs office assessments at our satellite locations to assure standard workflows are followed
- Works closely with the CBO to guarantee that accurate information and co-pays are obtained from the patient at the time of registration
- Serves as a liaison between clinical staff or providers and reception
- Manage situations and report up to Supervisor or Director any trends needing attention
- Manages the staff’s timecards and vacation requests in ADP
- Creates the staffing schedule within the coordinator rotation
- Manages Epic workqueue volumes to ensure they are worked timely
- Is involved in the monthly rotation of managing call-ins with the coordinators
- Trains reception staff on all new insurance products
- May travel to various sites including varying hours.
- Reviews monthly statistics and denial reports for continuing education opportunities within Reception
- Reviews patient volume reports to assess staffing needs proactively
- Assures the rotation functions of the Coordinators are scheduled and performed, such as call-in rotation, opening procedures, cash drawer management
- Provides reception coverage when necessary
- Attends management development classes and Supervisor Meetings
- Complies with BMG Corporate Compliance Policy and HIPAA regulations
- Will participate in worksite safety training programs.
- Will comply with all Group policies and procedures including mandatory annual in-services.
- Other tasks as assigned/required.
EDUCATION and/or EXPERIENCE:
Minimum of 5 years experience in a medical office; 4 year degree preferred; or equivalent combination of education and related experience. Strong knowledge of EPIC, Microsoft Word and Excel. Demonstrated progressive responsibility, served in a leadership role, or past supervisory experience preferred.

Pay: $60,405.80 - $83,011.50 per year
