Job Summary
Medical Assistant/Receptionist (Buckeye Endocrinology & Weight Loss)
Mission:
To ensure accurate, efficient, and patient centered clinical and administrative support using Advanced MD EMR/PM so that the physician can focus on delivering high-quality care without workflow interruptions, documentation errors or compliance risk.
In simple terms: You will have to do a lot to make the clinic run smoothly and help the provider succeed. You will have many roles to fill such as a front desk person, medical assistant and office manager, all while likely working with a new EMR that you may not have worked with in the past.
Outcomes:
Accurate Clinical Documentation
- Accurate medication entry
- Diagnosis codes entered when required
- Labs, imaging, referrals, prescription refills entered correctly and completely
- Intake notes, patient call notes completed accurately
Efficient Patient Flow Support
- Check in patient, scan ID and insurance card. Take photo of patient for EMR
- Verify information on insurance card matches data entered
- Verify primary and secondary insurances. If secondary insurance does not exist in EMR, will need to be able to create carrier information in the practice management software
- Entering in referring providers info into practice management software when needed
- Enter in pharmacy information
- All vitals, med reconciliation and EMR/Chart updates completed before physician enters room
- Be able to scan in labs, reports and external documents
- Be able to route calls and portal messages to provider after anticipating and performing tasks such as setting up the refill accurately to the correct pharmacy for the provider to sign
Independent Task Execution
- Assigned daily tasks completed in full without repeated prompting
- Be able to prioritize tasks
- Be able to work independently using the practice software
- Be able to use the Fax machine
- Be able to call provider offices, insurance companies, pharmacies to get things done
- Be able to do prior authorizations
Referral & Practice Growth Support
- Referral sources documented and updated, meaning maintaining a structured system for who sends us patients (ie Practice name, Office manager name, Fax number etc)
- Unscheduled referrals followed up within 24 hours, 72 hours and then 120 hours
- Helping in marketing the practice and creating awareness of practice by calling primary care providers within 15 miles of practice
Administrative Accuracy
- Insurance verification completed accurately before visits
- Copays confirmed
- No preventable administrative entry errors
- Be able to complete patient related paperwork such as FMLA, BMV, PAs fully and accurately
Continuous Improvement
- Demonstrates weekly improvement in speed, accuracy and efficiency within the first 30 days
- Identifies inefficiencies and proposes solutions
- Learns EMR workflows fully within first 30 days

Experience
- Prior experience working in a healthcare setting such as hospital, outpatient clinics, or speciality clinic is highly desirable
- Prior knowledge or experience with different EMRs apart from Epic is highly desirable
- Billing and Coding knowledge is also highly desirable
- Knowledge of medical terminology, medications, ICD coding (International Classification of Diseases) is essential
- Certification in Basic Life Support (BLS) or equivalent is preferred to ensure readiness for emergency situations
- Experience with subcutaneous medication adminstration and fingerstick blood glucose collection is essential
- Prior experience or knowledge of how to download various continuous glucose monitoring devices (CGMs) is essential
