Job Description
The Finance & HR Operations Manager is a ¾ time (28-hours per week), onsite position and is an integral part of the Whitmore Global Business Center leadership team, responsible for comprehensive financial management, human resource administration, and overall office operations. This position directly supports the Center's mission of preparing students to lead in global business environments through international experiences, courses, and certification programs. The role oversees critical functions including budget management, staff supervision, and administration of the Cardon International Sponsorship (CIS) program, reporting to the Center's Director and Associate Director.
What You'll Do in This Position
Financial Management
- Analyze center spending patterns, identify trends, and recommend financial improvements
- Oversee monthly budget tracking, ensuring accuracy and compliance with university policies
- Approve all travel, purchasing-card, and campus-card expenses
- Manage multiple center accounts including endowments, grants, gifts, and GlobalHub funds
- Generate and analyze financial data from university systems (Workday)
- Produce quarterly and ad hoc financial summaries with visualizations for directors
- Serve on the Marriott School Financial Council to improve college-wide processes
- Act as Records Liaison, maintaining required center documentation
- Administer the Eccles Scholarship Award process from applications to selection
- Conduct internal audits to identify compliance risks and update procedures
- Oversee Title VI CIBER grant travel processes and reporting
Human Resources & Office Management
- Recruit, hire, train, and supervise student employees
- Manage staff and student performance evaluations and time tracking
- Coordinate onboarding processes for new employees
- Ensure proper system and physical access for all staff members
- Plan and organize internal events to enhance employee morale
- Oversee class scheduling each semester and coordinate with college schedulers
- Support faculty through course catalog updates and special arrangements
- Host department events including annual retreat and social gatherings
- Report experiential learning activities and associated student funding
Cardon International Sponsorship Program Management
- Analyze quarterly fund reports and run financial forecasts for program viability
- Process student loans and monthly disbursements through university systems
- Conduct exit interviews with graduating students and manage loan consolidations
- Verify alumni status for loan forgiveness and interest waiver qualifications
- Design and teach weekly leadership curriculum for CIS students
- Coordinate International Graduate Student Orientation (IGSO) programs
- Organize networking events, workshops, and special tours for international students
What Qualifies You for This Role
Education and Experience Required
- Bachelor's degree in Business Management, Finance, or related field
- Minimum two years of professional experience in accounting and finance disciplines
Education and Experience Preferred
- MBA degree
- At least two years of professional office management experience
