Payroll and Benefits Specialist
We are seeking a detail-oriented and dependable Payroll & Benefits Specialist to join our team. This role is responsible for processing accurate and timely payroll, administering employee benefits, maintaining confidential employee records, and supporting compliance with payroll, tax, benefits, and HR-related requirements.
The ideal candidate is highly organized, professional, and comfortable working with sensitive information. This position plays an important role in supporting team members, leaders, vendors, and stakeholders with payroll, benefits, timekeeping, and HR system needs.
Key Responsibilities
- Prepare, review, and process bi-weekly payroll, including hours worked, PTO, differentials, bonuses, deductions, retroactive adjustments, paychecks, and direct deposits.
- Review payroll data and reports for accuracy, resolve discrepancies, maintain payroll records, and meet required deadlines.
- Support compliance with wage and hour laws, payroll tax requirements, organizational policies, and recordkeeping standards.
- Prepare and submit payroll tax deposits, quarterly and annual tax filings, year-end payroll processes, W-2 review, and related reporting.
- Process wage garnishments, child support orders, tax levies, and other required deductions while maintaining confidentiality.
- Administer benefit enrollments, changes, and terminations for new hires, qualifying life events, open enrollment, status changes, and separations.
- Ensure benefit deductions are accurately reflected in payroll.
- Process employment verification requests in accordance with company policy and privacy requirements.
- Assist with open enrollment, benefits questions, vendor or broker coordination, and invoice reconciliation.
- Process new hires, terminations, transfers, pay changes, position changes, and other employee updates in UKG or other HR/payroll systems.
- Generate payroll, benefits, and HR-related reports as needed.
- Provide courteous, confidential, and professional support to team members, leaders, vendors, and stakeholders.
- Communicate clearly, resolve routine issues, escalate complex concerns when appropriate, and support the organization’s mission, values, and team-centered culture.
- Perform other duties as assigned to support payroll, HR, and organizational needs.
Qualifications
Required
- High school diploma or GED.
- Strong attention to detail and commitment to accuracy.
- Ability to maintain strict confidentiality and handle sensitive information with professionalism.
- Strong organizational and time management skills.
- Excellent written, verbal, in-person, and telephone communication skills.
- Proficiency with Microsoft Office, especially Excel, Outlook, and Word.
- Ability to manage multiple priorities and deadlines while maintaining accuracy.
Preferred
- Associate degree in business, accounting, human resources, or a related field.
- Prior experience in payroll, benefits, accounting, human resources, or administrative support.
- Experience processing payroll in a healthcare, senior living, nonprofit, or multi-department environment.
- Experience with UKG or another HRIS/payroll system.
- Knowledge of payroll tax requirements, wage deductions, garnishments, benefit administration, and federal and state employment regulations.
