The Club Events & Communications Coordinator is responsible for delivering a high level of professional, courteous, and efficient service to members, guests, and colleagues. As the first point of contact for the Club, this role serves as both the face and voice of the organization ~ managing incoming communications, welcoming guests, and ensuring a seamless experience. This position plays a key role in enhancing member engagement by effectively promoting Club programs, events, and services.

Club Events & Communications Coordinator
The Club Events & Communications Coordinator is responsible for delivering a high level of professional, courteous, and efficient service to members, guests, and colleagues. As the first point of contact for the Club, this role serves as both the face and voice of the organization ~ managing incoming communications, welcoming guests, and ensuring a seamless experience. This position plays a key role in enhancing member engagement by effectively promoting Club programs, events, and services.
Primary Responsibilities
- Develop a comprehensive understanding of Club operations, departments, and personnel to effectively respond to inquiries and direct communications.
- Answer and manage incoming calls; warmly greet members and guests; provide accurate information and assistance with inquiries.
- Manage dining and event reservations in a timely and professional manner.
- Build and maintain strong relationships with members through consistent, clear, and engaging communication.
- Collaborate across departments to support and coordinate internal and external communications.
- Maintain and regularly update the Club calendar on the member website.
- Execute member communication initiatives, including:
- Email campaigns and digital notifications
- Social media content and updates
- Digital newsletters and promotional materials
- Menu updates and printed copies for distribution
- Support Advisory Board by preparing agendas, distributing meeting reminders, and maintaining attendance records.
- Assist with the execution of Club events and seasonal programming, including Summer Camp activities, under the direction of the Director of Membership, Marketing & Club Events.
- Coordinate event logistics, including signage, menus, seating charts, and event registration tracking.
- Provide on-site support for Club events, including family and kids' programming, ensuring smooth execution and a positive member experience.
- Professional demeanor with a strong commitment to hospitality and service excellence.
- Positive, proactive attitude with a hands-on approach to responsibilities.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work both independently and collaboratively within a team environment.
- Creative mindset with the ability to engage members through effective communication strategies.
- Hospitality or customer service-related experience a plus.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Experience with Canva and social media platforms.
- Familiarity with club management software (e.g., Northstar) preferred.
- Full-Time Non-Exempt position. Tuesday – Saturday, 10:00 a.m. – 6:00 p.m. With occasional evenings Holidays for events.
