Job Summary

EVENTS COORDINATOR

Reports to Director of Business Operations

The Chesterton Society is seeking an Events Coordinator to plan and execute high-impact gatherings, including the Society annual conference, the Chesterton Schools Network annual summit, and Knight dinners and pilgrimages. This role ensures that all events are delivered with precision, professionalism, and warmth, serving as defining brand moments that deepen engagement and loyalty.

The role requires a highly organized, proactive coordinator who thrives under deadlines and works comfortably within tight budgets and timelines. Success depends on disciplined logistics, accurate execution, strong vendor management, and the ability to anticipate needs before they surface.

Responsibilities

Your Responsibilities Include

  • Coordinate logistics for major events including conferences, summits, dinners, and pilgrimages
  • Manage venue selection, catering, audiovisual, registration, and on-site execution
  • Develop detailed run-of-show documents and event timelines
  • Collaborate across departments to align programming with mission and strategic priorities
  • Coordinate vendors and negotiate favorable terms when appropriate
  • Manage event-related scheduling, calendars, and internal planning meetings
  • Support travel coordination for speakers, leadership, and staff
  • Maintain organized documentation including contracts, reports, and post-event evaluations
  • Assist with attendee communications, surveys, and follow-up tracking
  • Attend events as needed to provide on-site coordination and operational support

Qualifications

Knowledge and Skills You Bring to the Organization

  • 2 years of experience in event coordination, operations, or project management
  • Strong organizational skills with ability to manage multiple concurrent projects
  • High attention to detail and strong execution discipline
  • Experience coordinating vendors and managing event logistics
  • Clear written and verbal communication skills
  • Proficiency in Microsoft Office and event management tools
  • Ability to anticipate needs and solve problems in real time
  • Collaborative mindset and ability to work across departments
  • Deep alignment with the Catholic faith and the mission of evangelization through education
  • Flexibility to work occasional evenings or weekends

Salary : $40,000 - $55,000
