Elementary Program Coordinator

JOB DESCRIPTION

Summary:

The Elementary Program Coordinator is responsible for ensuring the smooth, safe, and consistent daily operation of the elementary-aged program (grades K–5). This role serves as the on-the-floor leader during program hours—coordinating staff, managing daily workflow, supporting youth behavior, and ensuring program expectations are executed with consistency and quality.

Working closely with the Youth Development Manager, the Elementary Program Coordinator helps translate program plans into structured, engaging daily experiences while maintaining a positive, supportive environment for youth members.

· Part-time approx. 30 hours per week position; non-exempt

· Reports directly to: Youth Development Manager

Approximate schedule: Primarily afternoon and evening hours Monday through Friday; occasional daytime, evening, or weekend hours for special events, outreach, summer programming, or training

Essential Duties and Responsibilities include the following:

Daily Operations & Staff Coordination

· Lead day-to-day program operations during assigned shifts

· Assign and communicate daily staff responsibilities, schedules, and transitions

· Ensure appropriate staff-to-youth ratios and safe supervision at all times

· Monitor daily workflow and proactively address coverage needs, call-ins, or schedule adjustments

· Ensure program areas are prepared, staffed, and operating effectively

Staff Support & Accountability

· Provide real-time direction, coaching, and support to Program Staff during program hours

· Reinforce expectations for program delivery, behavior management, and professionalism

· Ensure staff complete assigned responsibilities including programming, supervision, cleaning, and documentation

· Model positive youth development practices and a team-oriented culture

· Communicate staff performance observations and concerns to the Youth Development Manager

Program Implementation & Consistency

· Support implementation of daily schedules and activities as designed by the Youth Development Manager

· Assist with program and lesson planning to ensure activities are prepared and engaging

· Ensure consistency in program structure, transitions, and expectations across staff and program areas

· Identify challenges in implementation and communicate recommendations for improvement

Youth Engagement & Behavior Support

· Serve as the first point of contact for youth behavior support and conflict resolution

· Implement and reinforce positive behavior management strategies

· Maintain a structured, safe, and supportive environment for all youth

· Build positive relationships with youth members and encourage participation

Family Communication

· Serve as a day-to-day point of contact for families during program hours

· Communicate routine updates, minor concerns, and positive feedback to parents/guardians

· Escalate significant concerns or incidents to the Youth Development Manager as appropriate

Program Logistics & Administration

· Identify supply and material needs to support program activities

· Maintain organized, clean, and well-equipped program spaces

· Ensure staff complete required documentation and data tracking accurately and on time

· Assist with preparation for special events, field trips, and program activities

Collaboration & Communication

· Maintain consistent communication with the Youth Development Manager regarding daily operations

· Participate in staff meetings, trainings, and planning sessions

· Support a positive, collaborative team environment

Additional Responsibilities include the following:

· Assist in program areas as needed to ensure safe and effective operations

· Assist with transportation of youth members as needed

· Participate in ongoing training and professional development

· Accept other duties as assigned

Requirements

· High school diploma or GED required

· Experience working with elementary-aged youth in a structured setting

· Ability to lead peers and provide direction in a fast-paced environment

· Strong communication, organization, and problem-solving skills

Preferred

· Associate or bachelor’s degree in education, youth development, or related field

· Experience in after-school or out-of-school time programming

· Experience supporting or leading staff

Skills and Knowledge

· Strong leadership presence and ability to manage real-time operations

· Ability to build relationships with youth, families, and staff

· Knowledge of positive youth development and behavior management strategies

· Ability to create a welcoming, inclusive, and youth-centered environment

· Ability to maintain structure, routines, and consistency for elementary age groups

· Strong problem-solving and communication skills

· Ability to manage multiple tasks and respond effectively to challenges

· Proficiency in Microsoft Office and other technology platforms used to support youth programming

· Commitment to the mission and values of the Boys & Girls Club

Physical Requirements and Work Environment

· Ability to stand, walk, and actively supervise youth for extended periods

· Capability to lift and carry materials up to 25 pounds

· Ability to work in various environmental conditions, including indoor and outdoor settings

· Fast-paced, high-energy youth development setting

Pay: $16.00 - $19.00 per hour

Work Location: In person
