The Registration & Scheduling Specialist is responsible for answering incoming telephone calls for patients needing to schedule or register for appointments with Bowen Health. This includes gathering the necessary demographic and pay-source information, complete an admission screening which includes risk assessment. The position will schedule appointments with clinicians based on pay sources and credentials.

Duties/Responsibilities

- Provide a positive experience for the first contact between Bowen Health and the patient calling for an appointment.
- Answering telephone within three (3) minutes so call is not transferred to voicemail.
- Return voicemails within twenty-four (24) hours when the message was left, the exception being calls on voicemails left on the weekends.
- Enter referrals and calling within twenty-four (24) hours to schedule for an appointment.
- Calling online registrations within twenty-four (24) hours to schedule for an appointment.
- Collect patient pay source information and calling to gather benefits before appointment date.
- Document all necessary information in the computer with minimal errors (Spelling, transposing of numbers, & Data in the wrong field).
- Verify all pay source for prospective patients and place information in the required area of the intake, document al information provided third party payers.
- Conducts admission screenings, including risk assessments, for incoming prospective patients.
- Refer prospective patients to appropriate service providers and, when necessary, send them to the Psychiatric Hospital for face-to-face evaluation.
- Enter doctor referrals and online registrations within twenty-four (24) hours. Make the first call to patients to schedule intake appointments.
- Other duties as assigned.

- Comfortable navigating electronic health records (EHR) and scheduling systems while communicating with patients in real time.
- Preferred typing speed of 35 WPM.
- Bilingual proficiency in English and Spanish strongly preferred, open to bilingual in English and other languages.
- Ability to conduct patient registration and appointment scheduling over the phone in both languages with clarity, professionalism, and empathy.
- Skilled in verifying patient information and assisting in English, Spanish, or other fluent languages as needed.
- Experience working with diverse populations in a healthcare or customer service setting.
- Comfortable navigating electronic health records (EHR) and scheduling systems while communicating with patients in real time.
- Education: High School Diploma or GED required.
- Certificate or Professional License: No Certificate or Professional License required.
- Experience: Previous customer service experience preferred.
- Valid driver’s license and active liability insurance.
