Boulo Solutions is partnering with a leading Surety company in Mandeville, LA looking to hire a highly skilled and organized Senior Claims Administrator to oversee and coordinate the administrative operations of our Claims Department. This role will take the lead in managing workflow for multiple claims assistants, ensuring that administrative tasks, file handling, and documentation processes are executed accurately and on time. The ideal candidate has experience supervising or coordinating a team of paralegals or legal assistants within a mid-sized law firm, or a comparable legal environment. This role calls for someone who thrives in a detail-heavy, deadline-driven setting and who can maintain discipline and consistency across administrative processes.
Key Responsibilities
Administrative Leadership & Workflow Coordination
- Serve as the lead administrative resource for the Claims Department.
- Assign, prioritize, and monitor work performed by the claims assistants; ensure equitable workload distribution and timely completion.
- Maintain a clear overview of all active administrative tasks and proactively address delays or capacity issues.
- Develop, refine, and enforce standard operating procedures (SOPs) to ensure accuracy and efficiency.
Claims File and Documentation Management
- Oversee file intake, organization, and maintenance throughout the lifecycle of a claim.
- Ensure proper file-naming conventions, document indexing, and adherence to retention requirements.
- Review outgoing correspondence, notices, and filings prepared by assistants for completeness and accuracy.
- Coordinate with internal attorneys/adjusters and external counsel to facilitate seamless case support.
Process Improvement and Operational Excellence
- Identify gaps, inefficiencies, and inconsistencies in administrative workflow and propose practical improvements.
- Implement proven legal support practices used in high-performing law firms (workflow templates, checklists, standardized forms).
- Assist Claims leadership in maintaining a highly responsive and organized support environment.
Training & Support
- Provide guidance, coaching, and informal leadership to claims assistants.
- Assist in developing training materials, onboarding processes, and reference guides.
- Support the Senior Vice President of Claims with special initiatives and department-wide administrative projects.
Administrative Coordination
- Manage calendars, deadlines, reminders, and critical dates associated with claims and legal filings.
- Track status updates, follow-ups, and case milestones to ensure timely action.
- Assist with reporting, data gathering, and preparation of documents for claims reviews and meetings.
Qualifications
Required
- 5 years of experience in a law firm, insurance claims environment, or professional legal services setting.
- Demonstrated experience overseeing or coordinating the work of paralegals, legal assistants, or administrative support teams.
- Strong understanding of legal documentation processes, case management workflows, and deadline-driven operations.
- Excellent attention to detail, organization, and time management skills.
Preferred
- Experience in surety, insurance defense, commercial litigation, or related fields.
- Familiarity with claim management systems, legal calendaring tools, and document management platforms.
- Paralegal certification or equivalent legal administrative training.
