Responsibilities
- Greet visitors and clients professionally at the front desk, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Handle data entry, filing, and document proofreading with accuracy and attention to detail
- Maintain office supplies inventory and coordinate procurement as needed
- Support calendar management and scheduling for team meetings and appointments
- Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and invoices
- Provide general clerical support including photocopying, scanning, and organizing files
- Utilize Microsoft Office Suite and Google Workspace tools for various administrative tasks
- Respond promptly to customer inquiries via phone or email, delivering excellent customer support
- Support office management activities to ensure a clean, organized, and efficient workspace
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or other bookkeeping software is preferred
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse clients effectively
- Strong typing skills and computer literacy are essential for data entry and document proofreading
- Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous
