Job Overview
We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will serve as the first point of contact for visitors and callers, manage administrative tasks with efficiency, and support daily office operations. Your energetic approach and attention to detail will help ensure our office runs smoothly and professionally. Responsibilities

  • Greet visitors warmly, answer multi-line phone systems, and direct calls with excellent phone etiquette
  • Manage front desk duties, including checking in visitors and handling incoming correspondence
  • Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office software
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff and executives
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide exceptional customer service by addressing inquiries promptly and professionally
  • Handle clerical tasks such as proofreading documents, managing office supplies, and organizing files efficiently

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with office management systems, data entry, filing, and record keeping
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are a plus to assist diverse clients and team members
  • Knowledge of medical or dental receptionist duties is beneficial but not required
  • Demonstrated customer service skills with professional phone etiquette and support experience
  • Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
