Job Title: Office Operations Support – Client & Operations - Janitorial Facilities Services
Location: Horsham, PA (5 days on site)
About the Role
This is an exciting hybrid client operations and support role within a Facilities/Janitorial services division. This position is perfect for someone who thrives on building strong client relationships while also managing operational work streams such as budget reporting, work orders, service coordination, and client communications.
You’ll be on site 5 days a week in Horsham, working with a portfolio of existing clients to ensure services are delivered smoothly and that clients’ needs and expectations are met consistently.
What You’ll Be Doing
Client Relationship & Communication
- Serve as a primary point of contact for a book of clients - managing daily communications, understanding needs, and coordinating responses.
- Conduct regular checkins via phone or in person to stay aligned with client expectations.
- Follow up on client requests and concerns efficiently and professionally.
Operational Support
- Assist in managing and tracking work orders - coordinating with internal teams and vendors to ensure timely completion.
- Use Monday.com CRM to update job status, track tasks, and monitor followups.
- Help resolve staffing issues by coordinating with HR and client teams.
Budget & Reporting
- Work on budget reports to ensure buildings remain on budget month to month.
- Assist in identifying and troubleshooting budget issues or variances.
- Support the preparation of financial reporting without direct P&L ownership.
Quarterly Business Reviews
- Prepare and present Quarterly Business Reviews to clients - summarizing performance, trends, needs, and improvement opportunities.
Commercial Support
- Identify opportunities for upselling additional services based on service delivery insights and client conversation trends.
- Support growth conversations with clients in partnership with VP leadership.
Team Contribution
- For senior candidates: potential to supervise junior support staff and provide mentorship.
- Collaborate closely with crossfunctional internal teams to ensure client satisfaction and operational excellence.
Who We’re Looking For
We’re open to midlevel to senior candidates, depending on experience and capability:
Junior Level
- Managing a client portfolio of ~300 clients
- Solid foundational experience in client communications, CRM work, and operational support
Senior Level
- Managing 300 clients or larger accounts
- Strong ability to prepare and present QBRs
- Experience leading or mentoring others, with some operational decision making
Skills & Experience That Will Help You Succeed
- Strong client relationship and communication skills
- Familiarity with CRM/work order systems (experience with Monday.com is a plus)
- Experience handling budget tracking and reporting
- Ability to follow up and manage multiple tasks with a high degree of organization
- Commercial mindset - able to spot upsell opportunities
- Comfortable presenting insights and reports to clients
- Experience in office, janitorial, facilities, or service operations environments is preferred
