ABOUT THE ROLE

This isn't your typical office assistant gig. Five marine businesses — a rental fleet, a marina, a boat club, a dealership, and charter operations — all running at once, all based on the water in South Jersey. This role sits at the center of it all: keeping things organized, moving deals forward, and making sure nothing falls through the cracks. Every day brings something different: member onboarding in the morning, event logistics in the afternoon, a contract going out before sunset. We're looking for a go-getter — someone who sees what needs to be done and does it, anticipates problems before they surface, and doesn't wait to be told every next step. You'd be joining a hardworking, tight-knit team that operates more like a family than a company — with a real opportunity to grow alongside multiple businesses in one of the most unique work environments out there. WHAT YOU'LL DO

  • Manage day-to-day administrative tasks across all businesses
  • Write and distribute member newsletters
  • Help book and manage rental and boat club reservations
  • Handle monthly billing for members and accounts
  • Set up member profiles, reservation accounts, member portal logins, and billing schedules
  • Coordinate events — from logistics to day-of execution
  • Send out contracts for boat club memberships and boat sales
  • Manage the owner's calendar — scheduling meetings, appointments, and follow-ups across all businesses
  • Screen and respond to incoming calls and emails, routing messages to the right person
  • Take meeting notes and distribute action items and follow-ups
  • Track business expenses and assist with basic reporting
  • Maintain organized digital files, contracts, and records across platforms (Google Drive, etc.)
  • Order office and marina supplies as needed
  • Support preparation of presentations, proposals, and reports
  • Run business-related errands as needed
  • Maintain CRM and member/client communication history — tracking follow-ups, notes, and key interactions
  • Book travel arrangements for boat shows, industry events, and business trips — flights, hotels, and transportation

WHAT WE'RE LOOKING FOR

  • Highly organized with strong attention to detail
  • Excellent written communication — clear, professional, and friendly
  • Comfortable juggling multiple priorities across different brands simultaneously
  • Tech-savvy: able to quickly adapt to new platforms and tools
  • Proactive self-starter who doesn't need hand-holding
  • Reliable and discreet — you'll handle sensitive member and financial information
  • Positive, professional presence at in-person events

BONUS POINTS

  • Experience with social media marketing (Instagram, Facebook, TikTok)
  • Background in hospitality, marina operations, or the marine industry
  • Comfortable at live events: trade shows, demo days, member parties
  • Familiarity with booking or reservation software
  • Someone with long term vision who sees the value of starting on the ground floor of a business with potential for major growth and expansion
