POSITION OVERVIEW
The Institutional Client Engagement Specialist plays a pivotal operational role supporting BNA Wealth's retirement plan advisory team. This position is responsible for day-to-day service and support of qualified and non-qualified retirement plans, ensuring accurate plan recordkeeping, regulatory compliance, and seamless service delivery to plan sponsors and participants. This is an excellent opportunity for a motivated individual with foundational retirement plan experience who is eager to deepen their expertise in retirement plan advisory and consulting.
KEY RESPONSIBILITIES
Client & Participant Service
· Supports the Managing Director in all aspects of exceptional client service
· Provides support for participant questions and requests including rollovers
· Field calls from plan sponsors to assist in resolving service issues
· Builds relationships with recordkeepers to facilitate client service
· Assists in the preparation of Quarterly reporting packages
· Assists the Managing Director on executing changes discussed during Plan Review Meetings including fund changes and amendments.
· Keeps software updated with current client information including PlanTools™ and Contact Management System (Karbon)
· Utilizes CRM (Karbon) to create and manage workflow
· Assists in preparation for employee education meetings
· Identifies participants with a need for financial planning and makes introductions to BNA Wealth Certified Financial Planners.
· Provides research on clients and prospects to the Managing Director.
Recordkeeping & Data Integrity
• Maintain accurate and organized plan sponsor files, participant data, and plan documents in compliance with firm and regulatory retention standards
• Ensure CRM and plan administration systems reflect current plan provisions, sponsor contacts, and participant demographics
• Coordinate year-end census data collection, reconciliation, and submission to TPAs or recordkeepers
QUALIFICATIONS
• 1–3 years of experience in an advisor support role or retirement plan administration
• Working knowledge of qualified plans
• Familiarity with ERISA regulations, IRS plan qualification requirements, and DOL disclosure rules
• Experience with retirement plan recordkeeping platforms (Empower, Principal, Ascensus or similar)
• Strong organizational skills with exceptional attention to detail and accuracy
• Excellent written and verbal communication skills, including the ability to explain complex plan concepts to plan sponsors and participants
• Ability to manage multiple client plans and deadlines simultaneously in a fast-paced environment
Preferred
• NAPA or ASPPA credentials (QKA, QPA, QPFC) or active pursuit of same
• Experience with defined benefit / cash balance plans
• Series 65 license or willingness to obtain
• Experience using Apple products along with Google and Microsoft Office products
WORK SCHEDULE
This is a primarily in-office role based in Rock Hill, SC. A minimum of 3 days per week in the office is required. We believe in the value of collaboration, in-person service excellence, and a team culture that supports professional growth.
