Overview
The Office & Administrative Coordinator is the first point of contact for visitors and staff, ensuring a welcoming environment and smooth day-to-day operations. This role is ideal for someone who is friendly, highly organized, detail-oriented, and enjoys both administrative work and hands-on tasks to support office operations.
Key Responsibilities
- Greet visitors and direct them to the appropriate office/personnel.
- Order and support lunch requests for meetings, company events, etc. (including setup and cleanup as needed).
- Act as the first point of contact with customers and vendors, providing strong customer service.
- Coordinate meetings, including scheduling with multiple admins/participants.
- Support leadership team with administrative needs such as scheduling, travel arrangements, and event registrations.
- Support accounting tasks such as processing payments, preparing mailings, and making deposits.
- Conduct clerical duties: filing, answering phones, preparing documents, and distributing mail.
- Manage employee access badges and ensure a clean, safe, and organized office environment.
- Stock office supplies, snacks, water, coffee, and maintain supply levels across multiple floors.
- Communicate company-wide messages regarding events, announcements, and office etiquette.
- Respond to maintenance requests and serve as a point of contact for office inquiries.
- Assist with planning and execution of company meetings and events.
Required Skills:
- 3 years in an Office Administrative role
- Must have experience with event planning and working in a corporate environment
- Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Visio).
- Ability to multitask, stay organized, and maintain attention to detail.
- Professional, self-motivated, and able to work independently.
- Comfortable working with employees at all levels of the organization.
- High school diploma required; Bachelor’s degree in business, administration, or related field a plus but not required.
- 1–2 years’ experience in an office setting preferred.
- Ability to prioritize tasks, manage time effectively, and handle a variety of responsibilities.
