A high-profile principal is looking for an Executive Personal Assistant to serve as a strategic right hand across both the executive office and family office. In this role, you'll own the big-picture operations of their professional and personal life — thinking six months ahead on the calendar, preparing for and staffing for conferences and speaking engagements, overseeing the EA, and ensuring seamless alignment across their business, personal, and household teams. You'll travel to conferences, podcasts, and public appearances as her on-site partner and gatekeeper, manage high-level relationships and gifting, and ensure every moving piece of her world is running with precision. Someone who can think strategically while staying close to the details, with exceptional EQ, polish, discretion, and a no-ego, service-first mindset. This is an in-person role based in Miami, FL. Must be comfortable in a fast-paced environment and willing to travel approximately 10–15% of the time. 175–200K DOE benefits, 401k, generous time off, and discretionary bonus.

Responsibilities:


  • Act as a strategic partner to the Principal on where their time, energy, and attention are best directed across initiatives, collaborations, and opportunities while ensuring they remain focused on the highest priorities.
  • Work in close partnership with the Principal and Executive Assistant to oversee the structure of the schedule and proactively identify opportunities to maximize time. Review incoming requests and opportunities against priorities, balancing competing demands across business, public-facing, and personal commitments.
  • Prepare briefing materials and background context ahead of meetings, events, travel, and engagements. Work with internal teams and external partners on research, meeting memos, and attendee preparation to ensure the Principal is fully ready. Own follow-up to ensure next steps are captured and executed.
  • Oversee day-to-day operations of the Executive Office, driving coordination across internal teams and external stakeholders. Directly manage the Executive Assistant and create the systems, workflows, and processes that keep operations running smoothly. Maintain clarity around roles, priorities, and accountabilities across the team.
  • Own end-to-end coordination of conferences, speaking engagements, and public appearances — from initial outreach and format negotiation to briefing materials, talking points, and Q&A preparation. Serve as the primary point of contact with external PR and communications partners, ensuring the right stakeholders are flagged proactively and looped in at the right time.
  • Travel with the Principal as their on-site right hand and gatekeeper to manage real-time logistics, take notes, and capture follow-ups.
  • Maintain a holistic view of all active projects, initiatives, and milestones to ensure alignment with the Principal's priorities. Keep information flowing between internal teams and external partners so the right materials reach the Principal at the right time. Bridge communication between the Principal, leadership teams, and key stakeholders as needed.
  • Lead planning and cross-team coordination, ensuring logistics, materials, and preparation are fully confirmed for events, travel, meetings, and engagements. Coordinate closely with the Executive Assistant on scheduling and on-the-ground logistics.
  • Track the Principal's key relationships and surface timely suggestions for whom they should connect with. Support gifting by coordinating with household staff and the PA, and independently researching creative, thoughtful gift ideas for high-priority individuals.
  • Serve as the bridge between the Executive Office and household team, maintaining a unified view of the Principal's schedule across professional and personal commitments.
  • Step in to support planning for significant personal or family engagements when needed.


Qualifications:


  • 6 years of experience in a strategic Operations, Executive Assistant, or similar role, ideally supporting a high-profile principal, Founder, or C-suite executive in a fast-paced, dynamic environment.
  • Proven track record of managing complex, multi-faceted schedules and competing priorities.
  • Experience overseeing or managing staff and holding a team accountable to a high standard.
  • Familiarity coordinating across business, household, and personal operations is a plus.
  • Anticipates needs and thinks several steps ahead. Ability to identify potential issues before they arise and put the right safeguards in place.
  • Operationally minded with the ability to zoom out and think strategically about how time, priorities, and resources are being allocated.
  • Exceptionally organized and reliable, follows through completely and consistently.
  • Clear and concise communicator, both written and verbal.
  • High EQ and strong ability to naturally read the room and situations, builds trust quickly, and navigates complex interpersonal dynamics with ease.
  • Adaptable and composed across any setting, whether a high-profile business engagement or an intimate personal event.
  • Service-oriented with no ego.
  • Exercises sound judgment in ambiguous situations and understands when to act independently versus when to loop others in.
  • Approaches sensitive matters with directness, tact, and composure.
  • Maintains an impeccable standard of discretion and confidentiality; understands that they are a reflection of the Principal in all interactions, both professional and personal.

Salary : $175,000 - $200,000
