Established early-stage VC is looking for an Executive Assistant to support four Investment Partners. In this role, you'll provide daily support to the four GPs to move seamlessly through their days — managing calendars and scheduling, coordinating travel, processing expenses, assisting with guests, and making sure the right people are in the right place at the right time. You'll also collaborate with another EA and the team to support events and firm-wide initiatives. Someone who brings a white-glove, service-first mindset to everything they do, is proactive, and thrives in a fast-moving and evolving environment where priorities shift and no two days look the same. This is an in-office role primarily based in Menlo Park, with 2 days/week expected to be in the San Francisco office. Must be flexible to commute and spend time between both offices depending on needs. 130-150K. DOE full benefits.
Responsibilities:
- Provide day-to-day support to four Investment Partners.
- Manage calendars for the partners, ensuring schedules reflect shifting priorities and the right people are in the right meetings.
- Oversee automated scheduling coordination, ensuring meetings are efficiently organized, conflicts are avoided, and stakeholders are aligned.
- Coordinate travel arrangements and related logistics, including itineraries, accommodations, transportation, and schedule adjustments as needed.
- Support internal and external meetings by preparing spaces, coordinating logistics, and helping ensure a seamless experience for visitors and team members.
- Collaborate closely with other team members on planning and executing events and supporting firmwide initiatives.
- Process expenses and provide general administrative support to help maintain efficient day-to-day operations.
- Manage shifting priorities, last-minute changes, and time-sensitive requests with strong judgment and professionalism.
Qualifications:
- 3 years of experience as an Executive Assistant, ideally supporting multiple stakeholders in a fast-paced, evolving environment.
- Strong organizational skills and exceptional attention to detail, with the ability to manage competing priorities effectively.
- Proactive, adaptable, and comfortable navigating ambiguity, change, and shifting priorities with a calm and solutions-oriented approach.
- Professional, polished, and service-oriented, with the ability to represent the team well both internally and externally.
- Strong communication skills, both verbal and written.
- Excellent judgment and the ability to anticipate needs, prevent issues, and operate with a high level of ownership and independence.
- Ability to think critically, stay organized under pressure, and find opportunities to improve processes and work more efficiently.
- Collaborative team-player to effectively work with and across teams and stakeholders.
