Innovative startup revolutionizing network infrastructure for businesses is looking for an Executive Assistant/Personal Assistant to join the Office of the CEO. With a recent Series C, it's an exciting time to step into a high-impact role at the center of a fast-moving organization. As the second assistant in the Office of the CEO, you'll own the CEO's full calendar and inbox — professional and personal as one unified function — all scheduling coordination, daily briefing prep, and keeping the CEO moving seamlessly through a back-to-back day. You'll work in close partnership with his other assistant, who is primarily focused on the home front but also owns travel and longer-term projects. It will be a real divide-and-conquer teamwork scenario. Someone genuinely excited by a blended EA/PA scope who can hit the ground running, and is action-oriented, making calls quickly and course-correcting rather than waiting for direction. This is an in-office role, 5 days/week, based in San Francisco. Must be available after hours and weekends if things come up, and flexible for approx. 30% of travel. 150-180K DOE equity, benefits, onsite chef, and unlimited PTO.
Responsibilities:
- Own the CEO's full calendar end-to-end, professional and personal combined, managing all scheduling, proactively resolving conflicts across packed back-to-back days, and ensuring everything stays on track.
- Manage both work and personal inboxes, including triaging and flagging priority messages, cleaning junk, ghostwriting email drafts, coordinating responses on behalf of the CEO, and maintaining consistent progress toward inbox zero.
- Own all scheduling coordination across Slack and email, managing incoming meeting requests from internal and external stakeholders, getting the right people on invites, and handling all back-and-forth communication end-to-end.
- Prepare a daily briefing snapshot each evening with meeting context, attendee background, relevant documents, and LinkedIn profiles to ensure the CEO starts every day fully prepared.
- With the other assistant, help manage the CEO's physical movement through the day, monitoring back-to-back schedules, going in to flag the CEO before meetings end, and ensuring on-time arrival to each commitment.
- Prepare for meetings by organizing materials, taking clear and effective notes, and tracking action items through completion.
- Collaborate with the other assistant on travel-adjacent calendar coordination, adjusting and clearing the schedule in alignment with travel plans.
- Audit time allocation periodically to help ensure focus remains on the highest-impact priorities.
- Act as a professional liaison with internal and external stakeholders, maintaining responsiveness and strong relationships on behalf of the CEO.
Qualifications:
- 5 years of experience as an Executive Assistant supporting a C-suite executive or founder in a high-growth startup, VC, or fast-moving tech environment.
- Genuinely embraces a blended EA/PA scope, comfortable managing professional and personal calendars and inboxes as one unified function without drawing hard lines between the two.
- Senior and operationally independent, able to hit the ground running with minimal onboarding and make sound judgment calls without waiting for direction.
- Action-oriented and comfortable with ambiguity, moving quickly and course-correcting as things evolve rather than stalling for clarity.
- Strong ghostwriting skills with the ability to draft emails on behalf of the executive and develop fluency in their voice and communication style over time.
- Exceptional written communication skills with a high bar for grammar, punctuation, and clarity of thought.
- Highly organized and systems-oriented, with experience building and maintaining efficient workflows and consistent follow-through.
- Polished, professional, and passionate about delivering high-quality work with a strong sense of ownership.
- Available and responsive outside standard hours, including Sundays, understanding this is a role defined by function rather than a fixed schedule.
Salary : $150,000 - $180,000
