Series A startup powering the future of open-source AI is looking for an Executive Assistant and Office Manager to support the Founder/CEO. This is an incredible opportunity to join a 12-person team with millions of users worldwide and partnerships with the biggest names in tech. In this high-impact role, you’ll own the CEO’s calendar and scheduling, manage travel logistics, organize his inbox, and serve as the operational backbone keeping the company running smoothly. You’ll also oversee the day-to-day of their beautiful new SoHo office — managing vendors, sourcing high-quality team swag, and creating an environment the team loves coming into every day. Someone who thrives at bringing order to chaos, feels energized working alongside a brilliant, fast-moving Founder, and can problem-solve independently. This role has real room to grow — for someone sharp, ambitious, and hungry to make an impact, there’s truly no ceiling. This is a fully in-office role based in SoHo, NYC. 130-140K DOE equity, benefits, 401K with match, unlimited PTO, and daily catered lunch.
Responsibilities:
- Support the Founder & CEO by managing scheduling, prioritization, and coordination.
- Manage the Executive's calendar, scheduling meetings, protecting his time, and keeping the schedule running efficiently as priorities shift.
- Help manage and organize the inbox, helping stay on top of key communications and action items.
- Coordinate travel logistics and transportation.
- Serve as a true organizational partner to the Executive.
- Oversee the day-to-day operations of the office. Manage vendor relationships, including cleaners and catering. Order and maintain office supplies and snacks.
- Source and manage swag and branded merchandise.
- Plan and coordinate team events, holiday celebrations, and culture moments
- Greet and host investors, candidates, and other guests when they come through
- Continuously think about what will make the office an even better place to work.
Qualifications:
- Previous experience as an Executive Assistant, Office Manager, or similar role in a dynamic, fast-moving environment.
- Exceptionally organized and systems-oriented, bringing your own systems and frameworks.
- Proactive, resourceful, and adaptable, with strong problem-solving skills and a solutions-oriented mindset.
- Adaptable and flexible to various workstreams.
- Strong interpersonal skills with the ability to build trust and collaborate effectively across teams.
- Growth-oriented with a positive attitude and a willingness to take initiative and ownership.
- Familiarity with tools such as Slack, Gmail, and project management platforms is a plus.
