Position Summary

Block Companies is seeking a highly organized, proactive, and dependable Administrative Assistant to support multiple team members and departments in a fast-paced office environment.

This role is ideal for someone who enjoys helping others stay organized, managing changing deadlines, following up on open items, and using good judgment to determine what needs attention first. The right candidate will be comfortable supporting multiple people, communicating professionally, tracking details, and staying calm when priorities shift.

This role also requires strong Microsoft Word and Excel skills, as the Administrative Assistant will regularly prepare, update, format, and maintain documents, spreadsheets, reports, tracking logs, and other administrative materials.

Prior construction experience is not required, but considered a plus. The selected candidate will be trained on Block's internal systems, documentation processes, and workflow, with the opportunity to grow into a more specialized coordination role over time.

Key Responsibilities

  • Provide administrative support to multiple team members and departments.
  • Assist with tracking deadlines, open items, document requests, and assigned tasks.
  • Organize and maintain records, reports, correspondence, files, and meeting notes.
  • Communicate professionally with internal team members, vendors, subcontractors, and outside contacts as needed.
  • Help coordinate information between departments such as operations, accounting, estimating, compliance, and field teams.
  • Follow up on outstanding items and help keep work moving.
  • Monitor competing requests and use good judgment to determine priorities.
  • Ask appropriate questions to clarify expectations, deadlines, and next steps.
  • Escalate issues appropriately when additional direction or decision-making is needed.
  • Assist with data entry, document preparation, reporting, scheduling, and general office support.
  • Learn company systems, procedures, documentation standards, and workflow expectations.
  • Prepare, format, edit, and maintain documents using Microsoft Word.
  • Create and update Excel spreadsheets, tracking logs, lists, reports, and basic data summaries.
  • Assist with document clean-up, formatting consistency, file organization, and version control.
  • Maintain accurate data in spreadsheets and help ensure information is complete, current, and easy to review.
  • Maintain professionalism and confidentiality when handling company, financial, project, or personnel-related information.
  • Perform other administrative and coordination duties as assigned.

Qualifications

  • Prior administrative assistant, office assistant, office coordinator, team assistant, or similar experience preferred.
  • Experience supporting multiple managers, departments, or team members at one time.
  • Ability to manage changing deadlines and competing priorities.
  • Strong organizational skills and attention to detail.
  • Good judgment and the ability to determine what needs attention first.
  • Strong written and verbal communication skills.
  • Comfortable following up with others and keeping tasks moving.
  • Ability to stay calm, professional, and productive in a fast-paced environment.
  • Proficiency with Microsoft Office, Outlook, Excel, and general computer systems.
  • Experience with documentation tracking, vendor communication, scheduling, or office coordination is a plus.
  • Willingness and ability to learn new systems, processes, and industry-specific terminology.
  • Strong Microsoft Word skills, including document formatting, editing, tables, headers/footers, spacing, and professional presentation.
  • Strong Microsoft Excel skills, including data entry, formatting, sorting/filtering, basic formulas, and maintaining tracking logs or reports.
  • Comfortable learning and using multiple software systems.
  • Ability to create clean, organized, and accurate documents and spreadsheets with minimal errors.

Ideal Candidate Profile

The ideal candidate is naturally organized, dependable, curious, and proactive. They are comfortable supporting multiple people, managing shifting priorities, and following up on details without being reminded. This person should be able to work with different personalities, ask good questions, and use sound judgment when deciding what needs attention first.

The right person will not need to know everything on day one, but they should be eager to learn, accountable for their work, and comfortable taking ownership of tasks once trained.
