This position requires strong technical aptitude with scanning equipment, PDF software, and Microsoft Office applications, particularly Outlook and Excel.
Candidates must be physically capable of lifting and moving boxes of large-format drawings, maintaining high attention to detail, and following precise record management procedures. The selected candidate will work on-site at the Calhoun County Plant, contributing to efficient document control operations and supporting engineering and operations teams.
Key Responsibilities
The Document Control Tech Aide 3 will be responsible for a variety of duties, including:
Document Scanning & Data Capture
- Scan small and large-format engineering drawings and documents using both small and large document scanners and plotters
- Capture and input accurate metadata for each scanned document to ensure proper indexing and searchability
- Verify the quality and legibility of scanned documents and make corrections as necessary
Document Management & Records Support
- Maintain organized records of scanned documents and drawings in compliance with company and regulatory records management standards
- Assist in cataloging, indexing, and archiving documents for long-term storage and accessibility
- Handle delicate or aging documents with care to prevent damage during scanning and storage
Technical & Software Use
- Use PDF software to convert, edit, and manage scanned documents
- Utilize Microsoft Office Suite (particularly Outlook and Excel) for email communication, data entry, reporting, and documentation tracking
- Operate document scanners, plotters, and associated hardware efficiently and safely
Timekeeping & Administrative Duties
- Record working hours accurately using the company timekeeping system
- Maintain logs, records, and reports to track daily scanning and document management activities
- Communicate effectively with supervisors regarding document status, issues, and project updates
Physical & Safety Responsibilities
- Lift and move boxes of large-format drawings, some of which may be heavy or fragile
- Ensure safe handling of all documents and equipment in compliance with company safety protocols
- Maintain a clean, organized, and safe workspace while performing scanning and document management tasks
Process Improvement & Collaboration
- Identify opportunities to improve scanning, indexing, and document control processes
- Collaborate with engineering, operations, and records management teams to support project and plant documentation needs
- Contribute to continuous improvement initiatives and help ensure accurate, efficient document workflows
Technical Skills, Knowledge & Competencies
- Proficiency in operating small and large-format document scanners and plotters
- Strong knowledge of records management processes and engineering documentation standards
- Familiarity with engineering drawings, blueprints, and technical schematics
- Competency with PDF software for document editing and management
- Proficiency in Microsoft Office Suite, particularly Outlook and Excel
