Position Overview

Bloc Resources is seeking an experienced Administrative Analyst 2 to provide high-level administrative and operational support within a fast-paced, professional environment. This role is ideal for a detail-oriented and proactive individual with strong organizational, communication, and analytical skills.

The Administrative Analyst 2 will play a key role in supporting leadership teams by managing schedules, coordinating meetings, preparing documentation, and assisting with reporting and administrative processes. This individual must be able to work independently, handle sensitive information with discretion, and contribute to the overall efficiency and effectiveness of daily operations.

Key Responsibilities

Executive & Administrative Support

  • Provide advanced administrative support to leadership and cross-functional teams
  • Independently manage complex calendars, appointments, and scheduling priorities
  • Coordinate travel arrangements, meeting logistics, and executive support tasks
  • Act as a liaison between leadership and internal/external stakeholders

Meeting & Event Coordination

  • Plan, coordinate, and execute meetings, conferences, and organizational events
  • Prepare meeting agendas, materials, and presentations
  • Track action items and follow up to ensure timely completion
  • Manage logistics including conference rooms, technology setup, and communications

Documentation & Reporting

  • Prepare, edit, and format professional documents, reports, presentations, and correspondence
  • Conduct research and gather data to support strategic decision-making
  • Compile and present findings in a clear and concise format
  • Maintain organized records and documentation systems

Financial & Administrative Analysis

  • Assist with budget tracking, expense reporting, and financial documentation
  • Monitor expenditures and ensure compliance with company policies
  • Support financial reporting processes and administrative audits
  • Analyze administrative processes and recommend improvements

Communication & Stakeholder Support

  • Serve as a primary point of contact for internal and external communications
  • Provide professional and responsive communication support
  • Build and maintain strong working relationships across departments
  • Support leadership with correspondence and follow-up communications

Confidentiality & Compliance

  • Handle sensitive and confidential information with the highest level of discretion
  • Ensure compliance with company policies and administrative procedures
  • Maintain professionalism and integrity in all interactions

Required Education and Experience

  • High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred
  • 6–10 years of experience in administrative support, office management, or related role
  • Experience supporting executive-level leadership or senior management teams preferred

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong analytical and problem-solving abilities

Technical Skills & Competencies

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with calendar management tools and scheduling systems
  • Familiarity with reporting tools and data analysis (preferred)
  • Ability to quickly learn internal systems and software platforms

Preferred Qualifications

  • Experience in corporate, utility, or engineering environments
  • Experience supporting budgeting or financial tracking processes
  • Prior experience in administrative analysis or operations support roles

Work Environment

  • Professional office environment located in Birmingham, AL
  • Collaborative team setting supporting leadership and operational teams
  • May require occasional extended hours based on business needs

Physical Requirements

  • Ability to sit for extended periods while working on a computer
  • Ability to lift light office materials if needed
