Position Summary
We are seeking a detail-oriented Payroll Assistant to join a fast-paced, customer-focused payroll team. In this role, you will interact with employees and management across multiple levels of the organization, ensuring payroll is processed accurately, timely, and in compliance with all regulations. This position requires a high level of confidentiality, professionalism, and a commitment to operational excellence.
Key Responsibilities
- Process U.S. and Canadian payroll accurately and on time
- Research and resolve payroll discrepancies and processing errors
- Ensure compliance with payroll regulations and company policies
- Communicate with local management teams to verify payroll data
- Complete payroll reconciliations and required tax documentation (Form 941, W-2, T4, etc.)
- Maintain accurate and secure payroll records
- Assist with documentation of payroll procedures and SOPs
- Provide professional guidance and support to employees regarding payroll matters
- Serve as backup processor for non-exempt U.S. and Canadian payrolls
- Support continuous process improvements and special projects
- Minimum 3 years of general office or accounting experience (payroll experience preferred)
- Associate’s or Bachelor’s degree preferred, or equivalent experience
- Strong understanding of accounting and mathematical principles
- Excellent attention to detail and problem-solving skills
- Strong written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Proficient in Microsoft Word, Excel, and Outlook
- Experience with IBM (CICS & IMS) and MDM systems is a plus
- Ability to work independently and in a team environment
- Must maintain confidentiality and handle sensitive information with discretion
- Physical requirements include extended periods of sitting, phone work, filing, and occasional bending/standing
- Background check required upon offer
- Must be a US Citizen and not need sponsorship now or in the future
