Administrative Assistant role in Cushing, Oklahoma
- $21/hr. - $26/hr.
- Contract role with hybrid work arrangement (work from home every other Friday; otherwise, role is office based/on-site)
- Minimal travel with occasional overnight stays
We are seeking a highly organized and detail-oriented Administrative Assistant to support operations and maintenance teams in a fast-paced environment. This role plays a critical part in keeping day-to-day office functions running smoothly while supporting leadership and team members across a variety of administrative needs.
What You’ll Be Doing:
- Manage employee updates including new hires and status changes using D365
- Process invoices from verification through submission and approval
- Support team members with time reporting, expense reporting, and training processes
- Coordinate meetings, appointments, conferences, and meeting logistics
- Prepare documents, reports, and PowerPoint presentations
- Manage calendars and assist with travel arrangements
- Handle sensitive and confidential information with professionalism
- Maintain filing systems and office records in compliance with company standards
- Oversee office coordination including mail, shipping, and workspace needs
- Support cost tracking, reporting, and analysis
- Utilize tools such as Power BI, Microsoft Teams, and SharePoint
What We’re Looking For:
- Strong communication skills with high attention to detail and accuracy
- Ability to manage multiple priorities in a high-volume environment
- Self-starter who can work independently with minimal supervision
- Excellent organizational, problem-solving, and time management skills
- Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and D365
- Strong interpersonal skills and ability to work collaboratively across teams
Qualifications:
- High school diploma required; Associate degree preferred
- Minimum 6 years of administrative or related experience
- Experience supporting senior leadership in a dynamic environment is a plus
- Familiarity with D365 and business operations is an asset
