REPORTING RELATIONSHIP:
  • Is directly accountable and responsible to the Academic Dean of Automation, Energy and Advanced Technology (AEAT).
RESPONSIBILITIES:
  • Responsible for managing the Academic Dean’s office and assisting the Dean with the responsibilities and activities assigned to the Dean.
  • Responsible for providing general support to the AEAT division.
  • Customer relations and service to internal and external stakeholders.
  • Promote and support student success.

Position Description & Details


Provides administrative support to the AEAT department – 90%
  • Provides phone and email coverage for the AEAT department.
  • Generates and monitors contracts and payroll orders for AEAT program adjunct faculty.
  • Generates and monitors contracts and payroll order for overloads and extra duty assignments for full-time faculty and staff.
  • Maintains course tracking, including contracts, payroll orders, course schedule, grades, etc.
  • Building and maintains the AEAT division schedule of course in Campus Connection.
  • Coordinates various departmental meetings by gathering agenda items, distributing agenda, meeting minutes, etc.
  • Assists with grant and enrollment reporting requirements.
  • Faculty absence, professional development, and faculty evaluation tracking.
  • Maintains organization records pertaining to the AEAT department and implements improvements for office procedures.
  • Manager paperwork and records for AEAT purchases, travel authorizations, reimbursements, etc.
  • Reconcile division purchase cards.
  • Maintain/updates enrollment, scheduling, and budget reports for the department.
  • Initiates and plans travel arrangements and calendars for division Academic Dean.
  • Prepares letters, memos, reports, and other communications.
Miscellaneous duties – 10%
  • Supports innovation, creativity, and ideas to improve/enhance processes, etc. in the division and for the college.
  • Performs other duties as assigned.

  • Continuously – 66-100% - Use hands dexterously, talk, or hear.
  • Frequently – 34-65% - Reach with hands and arms, stand, walk, or sit.
  • Occasionally – 1-33% - Climb or balance, stoop/kneel/crouch, or crawl or lift up to 25 pounds.

Minimum Requirements

  • Appropriate associate degree and two years of related experience and/or the equivalent of four years related experience.
  • Excellent interpersonal communication skills.
  • Proficient in working knowledge of computer software programs (i.e., Microsoft Word, Excel, Access, electronic calendar, e-mail, etc.).
  • Ability to work independently with little or no supervision.
  • Excellent organizational skills, detail oriented, and able to meet multiple deadlines.
  • Strong written communication skills (i.e., letters, emails, memos, reports, etc.).
  • Disciplined and able to maintain confidentiality.

Preferred Qualifications

  • Higher education experience.
  • More than five years related administrative experience.
