What are the responsibilities and job description for the Assistant Operations Coordinator (AOC) - Lodging & Transportation position at Big Bend Collective LLC?
Big Bend Collective (BBC) is a growing hospitality and tourism company operating boutique lodging, cabins, vacation accommodations, Jeep rentals, and food and beverage businesses throughout the Big Bend region. Our brands include ACP Hotel, Amigo Sports Bar, Antelope Lodge, Cottonwood Creek Cabins, & Trans-Pecos Jeeps.
We are seeking a resourceful, technically savvy, and hands-on Assistant Operations Coordinator — Lodging & Transportation to help oversee daily operations across our lodging and transportation businesses.
This is not a traditional desk job. We need an operator who can move comfortably between computer dashboards, guest-service systems, staff coordination, property inspections, basic maintenance, and real-world problem-solving.
One hour you might be reviewing reservations and preparing a housekeeping deployment plan. The next, you could be troubleshooting an electronic lock, moving furniture, responding to a guest concern, or helping cover an unexpected staffing shortage.
We're looking for a jack-or-jill-of-all-trades who combines technical ability, practical judgment, initiative, and a willingness to get their hands dirty.
This position works directly under the owner's leadership, with mentoring and operational development alongside BBC's existing management team.
Primary Properties & Responsibilities
The initial focus of this position is supporting three BBC operations:
- Antelope Lodge: Hotel operations, room readiness, housekeeping coordination, guest experience, property inspections, and daily operational support.
- Cottonwood Camp & Cabins (CWC): Cabin turnovers, property readiness, housekeeping deployment, maintenance coordination, and guest-service support.
- Trans-Pecos Jeeps (TPJ): Rental readiness, vehicle logistics, reservation coordination, fleet presentation, and guest support.
The position is primarily field-based in Alpine, with regular movement between properties and a combination of administrative, technical, and physical responsibilities.
Schedule & Hours
- Full-time, generally 36-40 hours per week.
- Typical working hours are approximately 9:00 AM–6:00 PM, including an unpaid one-hour meal period.
- The schedule will be established around operational needs, with weekend availability expected.
- Flexibility is required for guest arrivals, housekeeping turnovers, vehicle rentals, staff absences, and occasional urgent operational situations.
- Any additional hours or overtime will be handled in accordance with applicable law and company policy.
Key ResponsibilitiesDaily Operations & Staff Coordination
- Review daily reservations, arrivals, departures, housekeeping assignments, and vehicle rental schedules.
- Use operational dashboards and reports to anticipate workload and identify priorities.

- Conduct property walkthroughs, room inspections, and readiness checks.

- Use spreadsheets, digital checklists, and cloud-based tools to track tasks and monitor performance.
- Help improve workflows, documentation, and communication between properties.
- Coordinate effectively with the owner and other managers working remotely.
Strong computer literacy and the ability to learn new systems quickly are essential.
Hands-On Property & Maintenance Support
- Perform basic property maintenance and minor repairs within demonstrated skills and training.

- Support housekeeping, laundry, room preparation, and common-area readiness when operationally necessary.
- Conduct routine property inspections and identify safety, maintenance, and presentation concerns.
- Coordinate with vendors and service providers for repairs beyond the scope of the position.
- Maintain organized supplies, tools, storage areas, and operational workspaces.
This position requires someone who is comfortable using basic hand tools, solving practical problems, and performing physical work—not someone who expects to spend the entire day behind a desk.
Transportation & Fleet Operations
- Monitor upcoming Jeep reservations, departures, returns, and vehicle readiness.
- Coordinate vehicle cleaning, fueling, staging, and basic inspections.
- Assist with vehicle relocations and guest pickup or drop-off logistics when assigned.
- Identify and report maintenance, damage, or readiness concerns.
- Maintain accurate vehicle status records and coordinate with remote management.
- Help resolve time-sensitive transportation issues and guest needs.
Guest Experience & Problem Resolution
- Support front desk and guest-service employees when needed.
- Assist with guest concerns, access problems, room-readiness issues, and unexpected service interruptions.
- Provide professional, practical solutions while following company guidelines.
- Step into guest communications or reservations coverage during staffing gaps or operational emergencies.
- Recognize which issues can be resolved independently and which require escalation.
- Ensure unresolved matters are documented and communicated promptly.
Leadership, Mentorship & Growth
This position begins as an operational support and coordination role working directly under BBC's owner, with guidance and mentorship from experienced company leadership.
The immediate goal is to develop a dependable on-site operator who can execute daily plans, coordinate staff, solve problems, and maintain property standards without requiring constant direction.
As the company grows and the successful candidate demonstrates capability, the position may expand to include broader responsibilities across the Big Bend Collective portfolio.
Future opportunities may include:
- Greater responsibility for multi-property operational planning and staff coordination.
- Additional oversight of lodging, transportation, and other BBC business operations.
- Cross-training with the Alpine City Place operations team.
- Occasional coverage for other management functions, including limited restaurant operational support.
- Advancement into a broader Operations Manager or portfolio-level leadership position.
These are potential development opportunities, not immediate primary responsibilities or guaranteed promotions.
Required Qualifications
- Strong organizational, planning, and problem-solving skills.
- Excellent computer literacy and the ability to learn multiple software platforms.
- Confidence reviewing dashboards, reports, schedules, and digital task-management systems.
- Demonstrated ability to prioritize competing responsibilities and work independently.
- Practical mechanical aptitude and willingness to perform basic maintenance and physical property work.
- Ability to communicate clearly with staff, guests, vendors, and remote leadership.
- Willingness to step into operational tasks when staffing or business needs require it.
- Reliable attendance, punctuality, and personal accountability.
- Valid driver's license and ability to meet company vehicle-use requirements.
- Reliable transportation to and from work.
- Ability to travel between BBC properties during scheduled working hours.
- Ability to lift and move furniture, supplies, linens, and equipment as required for essential job duties, with or without reasonable accommodation.
- Availability for weekend work and schedule flexibility based on operational needs.
Preferred Qualifications
- Experience in hospitality, hotel operations, vacation rentals, transportation, property management, or a comparable service business.
- Previous experience coordinating employees, schedules, or daily work assignments.
- Familiarity with hotel property management systems, reservation platforms, fleet software, or digital scheduling tools.
- Experience with basic property maintenance, repairs, or facilities support.
- Proficiency with spreadsheets, cloud-based applications, and digital reporting.
- Experience handling guest complaints or resolving operational problems independently.
- Previous supervisory or assistant management experience is helpful but not required.
We value demonstrated capability, initiative, and practical experience as much as formal education or job titles.
Who Will Succeed in This Role?
You are someone who sees a problem and starts working toward a solution.
You can review a reservation dashboard in the morning, organize a cleaning plan, help move furniture before an arrival, troubleshoot a door lock, coordinate a vehicle rental, and finish the day with an accurate operational report.
You are comfortable with technology but not afraid of physical work.
You understand that successful operations require both planning and execution. You communicate proactively, follow through on assignments, and take pride in maintaining organized, guest-ready properties.
You don't need to know everything on day one, but you must be curious, resourceful, coachable, and willing to learn.
This is an excellent opportunity for an emerging hospitality or operations professional who wants hands-on experience, direct mentorship, and the potential to grow into broader leadership responsibilities.
