BFS Advisory Group is seeking a Client Service Representative (CSR) for our team. The CSR supports the advisory team and ensures clients receive high-touch, proactive, and accurate service experience. This role manages day‑to‑day client requests, executes custodian operations, prepares planning materials, and reinforces the DBT360 planning process through excellent communication and operational discipline. The CSR is often the first and most frequent point of contact for clients, making this a cornerstone role in upholding BFS Advisory Group’s values and client experience standards.
The CSR will be instrumental in assisting the team in executing on client needs, from money movement to meeting preparation, account maintenance, and direct client service. The CSR will be responsible for supporting the Client Service, Financial Planning, and Investment teams for ongoing and as-needed tasks. The ideal candidate has exemplary time management skills and the ability to anticipate the clients’ and team’s needs, and is expected to maintain confidentiality in client financial, legal, personnel and institutional information, while exercising professionalism and discretion.

Key Responsibilities
1. Client Service & Communication
- Act as a responsive, empathetic point of contact for administrative client needs
- Manage inbound calls, emails, and CRM tasks within service‑level expectations
- Prepare and send meeting confirmations, agendas, and follow‑up summaries
- Maintain clear, accurate notes and communication records in Redtail CRM
- Deliver service consistent with BFS’s emphasis on stewardship and authenticity
2. Account Administration & Custodian Processing
BFS Advisory Group is affiliated with NewEdge Advisors and NewEdge Securities (FINRA/SIPC) for custodial and brokerage operations.
Responsibilities include:
- Preparing and submitting new account applications (individual, joint, trust, entity, IRA, qualified plans)
- Initiating ACAT transfers, rollovers, contributions, journals, and distributions
- Performing money‑movement tasks (wires, checks, internal transfers) in accordance with compliance requirements
- Tracking outstanding paperwork and proactively following up with custodians and clients
- Ensuring client records stay accurate across all custodial platforms
3. Advisor & Planning Support
- Generate and assemble client review packets and planning documents
- Support the DBT360 planning workflow by gathering data, updating documents, and preparing deliverables
- Collaborate with advisors during meeting prep and follow‑through
- Assist with tax planning tasks, year‑end reporting coordination, and Holistiplan uploads
- Maintain accurate data for financial planning, investment reporting, and service calendars
4. Operations & Technology Support
The CSR will work across key systems used by BFS, including:
- Fidelity and Schwab systems
- Redtail CRM
- eMoney financial planning software
- Holistiplan for tax analysis
- DocuSign for e‑signature
- Portfolio management and reporting tools used internally (BFS manages portfolios in‑house)
Operational duties include:
- Ensuring system data integrity (names, beneficiaries, risk profiles, compliance forms)
- Preparing performance and allocation summaries when supporting advisor reviews
- Troubleshooting client portal access issues
- Maintaining digital file structure and document retention requirements
Qualifications
Required
- Bachelor's degree
- 1–3 years experience in an RIA, wealth management, or financial services operations role
- Strong communication skills with a client‑first mindset
- High accuracy, attention to detail, and reliability
- Ability to manage multiple tasks and deadlines consistently
- Comfort working within structured processes and workflows
- Proficiency with Microsoft Office (Word, Excel, Outlook) and CRM systems
- Ability to maintain professional image and project our values and culture with clients, colleagues, vendors, and other third-party contacts
Preferred
- Series 7, 63 / 65, or 66 or willing to get licensed within four months
- Experience with Fidelity and/or Schwab systems
- Familiarity with eMoney, Holistiplan, DocuSign, and custodian platforms
- Understanding of financial planning terminology and standard account types
- CFP Designation
