Lead Early Childhood and School Age Program Admin Specialist
Schedule: Full-Time (40hrs/week)
About the Role:
The Administrative Specialist provides high‑level administrative, organizational, and project support to the Early Childhood & School Age (ECSA) leadership team. This role helps ensure smooth daily operations across multiple programs by managing data systems, coordinating schedules and communications, supporting events, and serving as a welcoming point of contact for staff, families, and community partners.
Key Responsibilities
- Provide administrative support to the Vice President and program managers, including scheduling, meeting prep, and maintaining department documents.
- Manage data entry, reporting, and maintenance of program trackers such as enrollment, attendance, and waitlists.
- Oversee accuracy of multiple databases and ensure timely updates for quality reporting.
- Coordinate and track professional development activities, audits, and required program reviews.
- Maintain organized systems for files, supplies, program materials, and shared workspaces.
- Assist with creating and editing documents, flyers, spreadsheets, and meeting minutes.
- Support internal and external meetings, events, and outreach activities such as open houses and partner lunches.
- Provide professional customer service and reception support as needed.
- Collaborate with leadership and internal support teams to improve systems, processes, and overall department efficiency.
Qualifications
- Associate degree preferred; HS diploma/equivalent with 2 years of professional office experience acceptable.
- Project management experience required.
- Strong organizational, communication, and multitasking abilities.
- Proficiency with Microsoft Windows and advanced skills in Microsoft Office (Word, Excel, Outlook, etc.).
- Ability to work in a fast‑paced, service‑oriented environment with flexibility and professionalism.
Work Environment: Exposed to a combination of office, school and mental health treatment environments. Exposed to children with behavior problems. May be exposed to shouting and clients who may be verbally and physically aggressive. May be exposed to blood or vomit and bodily fluids.
