The Driver Processor supports the hiring and onboarding of company drivers by making sure required paperwork, verifications, screenings, and system setup are completed accurately and on time. This position works closely with Recruiting, HR, Safety, and Operations to move drivers through the hiring process and ensure they are ready for orientation and the start of employment.
The ideal candidate is organized, detail-oriented, dependable, and comfortable managing multiple tasks and deadlines. This is a hands-on administrative role that requires consistent follow-up and communication with drivers and internal teams.
Hours will be 7:30AM to 4:30PM Mondays and Wednesdays and 8AM to 5PM Tuesdays, Thursdays, and Fridays. This is a fully on-site position.
Essential Duties & Responsibilities
Driver Processing & Compliance
Process driver Verification of Employment (VOE) and related employment and safety history requests.
Review driver applications and documentation for completeness and accuracy.
Coordinate and track pre-employment drug screens and other required hiring steps.
Work with Recruiting and Safety to ensure drivers meet company and applicable DOT/FMCSA qualification requirements.
Maintain accurate driver qualification and hiring records.
Follow up with drivers and internal departments to obtain missing information or documentation.
Identify and communicate issues or discrepancies that may delay a driver's hiring process.
Hiring & Onboarding
Serve as a primary point of contact for drivers once they move from Recruiting into the hiring process.
Complete new-hire paperwork and processing once hiring requirements have been met.
Set up new drivers in McLeod software, finalize processes in Double Nickel ATS, and other applicable company systems.
Coordinate fuel card setup and other required driver credentials.
Help prepare drivers for orientation by confirming required paperwork and information is complete.
Communicate driver status and outstanding items to Recruiting, HR, Safety, Payroll, and Operations.
Maintain accurate records of hiring status, orientation, and onboarding requirements.
Post-Orientation Support
Follow up with newly hired drivers after orientation to make sure outstanding items are completed.
Confirm drivers have the necessary systems, fuel cards, documentation, and other resources.
Help resolve administrative or onboarding issues and direct questions to the appropriate department.
Communicate recurring issues or opportunities for improvement to the Director of Talent & Recruiting.
General Responsibilities
Maintain organized and accurate records.
Follow established hiring and onboarding procedures.
Help maintain and improve driver processing checklists and workflows.
Assist with audits, reporting, and other administrative projects as needed.
Handle confidential applicant and employee information appropriately.
Provide a professional and helpful experience for drivers throughout the hiring process.
Qualifications
High school diploma or equivalent required.
Previous experience in transportation, recruiting, HR, safety, compliance, or employee onboarding preferred.
Transportation or trucking industry experience is a plus.
Familiarity with DOT/FMCSA requirements preferred.
Experience with McLeod or similar transportation software is a plus.
Experience with Double Nickel or similar transportation related ATS is a plus
Strong attention to detail and organizational skills.
Ability to manage multiple tasks and deadlines.
Strong communication and follow-up skills.
Comfortable working with drivers, candidates, and internal departments.
Proficient with Microsoft Office and able to learn new computer systems quickly.
Ability to maintain confidentiality and handle sensitive information appropriately.

Required documentation, VOEs, and screenings are properly tracked and completed.
Drivers are fully prepared for orientation and the start of employment.

Drivers and internal departments receive clear and timely communication.
