About the Role
We are seeking a highly organized and detail-oriented Facility Admin / Scale House Attendant to support daily operations at our Tulsa location. This position plays a key role in scale operations, load tracking, documentation, scheduling, and administrative coordination. The ideal candidate is proactive, reliable, and comfortable working in a fast-paced, operations-driven environment.
Key Responsibilities
Scale House Operations
- Review Gateway Schedule each morning and report the number of incoming trucks to the Project Manager.
- Check in and process incoming loads, including:
- Scale tickets
- QA/QC manifests
- Sales orders (SO) entry in NetSuite
- Maintain accurate load data in the MPF Processing Log and desk calendar backup.
Documentation & Filing
- File hard copy documents in customer file folders.
- Upload and organize digital documents in SharePoint by Year/Month.
- Prepare Bills of Lading (BOLs) for outgoing boxes.
- Track box tonnage daily using the EFW Log Tracking spreadsheet.
- Scan and store monthly fuel receipts for drivers.
Scheduling & Operational Tracking
- Update and maintain the Tulsa MPF Spreadsheet using Gateway Schedule data (customer, SO#/WP#, carrier, schedule time).
- Track loads on the operations whiteboard, including those needing testing.
- Maintain the Yard Sheet and assist with ILM trailer tracking.
- Update reports including the MPF Performance Report and Inbound/Outbound reports.
Reporting
- Submit mid-month and end-of-month paperwork accurately and on time.
- Provide weekly KPI reporting.
- Send daily tonnage via text to the Project Manager (same day or next morning).
- Report weekly inbound/outbound load counts to leadership via Teams.
- Submit monthly copier counts.
Communication & Support
- Communicate daily with Scheduling, Sales, Customer Service, and MPF Operations teams.
- Provide requested documents to customers promptly.
- Monitor office supplies and notify appropriate personnel when replenishment is needed.
Requirements
- Ability to work onsite Monday–Friday from 7 AM to 4 PM.
- Strong organizational skills, time management, and attention to detail.
- Comfort with data entry, spreadsheets, and administrative workflows.
- Ability to lift/push as required in a scale house environment.
- Background check and drug test required.
- No requirements for medical clearance, respirator test, audiogram, or education/employment verification.

Pay: $20.00 - $23.00 per hour
