Job Summary
We are seeking a professional and personable Front Desk Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. This role involves managing front desk operations, providing exceptional customer service, and supporting office management functions to ensure smooth daily operations. The successful applicant will demonstrate proficiency with office technology, multitasking capabilities, and a commitment to maintaining a positive environment for clients and staff alike.

Duties

  • Greet visitors and clients warmly, ensuring a professional and friendly first impression.
  • Manage multi-line phone systems, directing calls accurately and courteously.
  • Handle appointment scheduling, calendar management, and coordinate meetings efficiently.
  • Maintain organized filing systems, data entry, and document proofreading to support administrative tasks.
  • Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for various clerical functions.
  • Support office management activities such as supply inventory control, record keeping, and basic bookkeeping.
  • Provide customer support by addressing inquiries promptly and professionally via phone or email.
  • Ensure proper phone etiquette is maintained at all times while managing correspondence and communications.

Requirements

  • Proven office experience with strong clerical skills and familiarity with front desk operations.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, and data entry software.
  • Experience with multi-line phone systems and professional phone etiquette is essential.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Previous experience in customer service or administrative roles is preferred; dental or medical receptionist experience is a plus.
  • Strong typing skills along with proofreading capabilities to ensure accuracy in documentation.
  • Knowledge of bookkeeping software such as QuickBooks or similar tools is advantageous.
