BBM and Blooming Botanical are seeking a reliable, organized, and professional Administrative Coordinator / Client Support Specialist to support day-to-day operations, customer communication, proposal preparation, scheduling coordination, invoicing, and administrative follow-up.
This role is ideal for someone who enjoys working in a fast-paced service-based business, communicates clearly with clients and team members, and can manage multiple administrative tasks with strong attention to detail.
The position will support both BBM operations and Blooming Botanical, with a long-term opportunity to grow into a more dedicated administrative and client-facing role within Blooming Botanical as the company continues to expand.
Key Responsibilities:
BBM Administrative Support
- Create, organize, and manage work orders
- Prepare proposals using information provided by management and field staff
- Prepare and submit invoices
- Communicate with customers regarding scheduling, service updates, proposals, and follow-up items
- Provide administrative support to management and field teams
- Assist with scheduling coordination and internal communication
Blooming Botanical Support
- Serve as a primary administrative and client-facing contact
- Communicate with clients in a professional and timely manner
- Assist with proposal preparation
- Support contract administration and documentation
- Coordinate scheduling for services and client appointments
- Track service progress and follow up with clients as needed
- Help maintain organized records for ongoing client work
Ideal Candidate
The ideal candidate is dependable, detail-oriented, and comfortable communicating with both clients and internal team members. This person should be able to manage multiple priorities, stay organized, and follow through on administrative tasks from start to finish.
Qualifications
- Previous administrative, office support, customer service, or scheduling experience preferred
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple tasks and deadlines
- Comfortable using email, spreadsheets, scheduling tools, and basic office software
- Professional and friendly client communication style
- Ability to work independently and take initiative
- Experience with invoicing, proposals, work orders, or service-based business operations is a plus
Schedule
- Full-time
- Monday through Friday schedule preferred
- Exact hours to be discussed based on candidate availability and company needs
