- Monitor, coordinate, and process workers’ compensation claims, ensuring timely and accurate submission of required documentation to BHN’s insurance carrier.
- Maintain ongoing communication with injured employees and program leadership throughout the duration of the employee’s absence.
- Collect, track, and securely store medical documentation following each appointment, including work status, restrictions, accommodations, and time out of work.
- Ensure proper payment of the remainder of the first day of injury and provide clear guidance regarding payment of the first five days out of work.
- Maintain a comprehensive spreadsheet of all workers’ compensation-related invoices and process invoices for payment by the Fiscal Department.
- Coordinate with employees to obtain documentation requested by BHN’s workers’ compensation insurance provider.
- Ensure the Benefits Team is notified when an employee on workers’ compensation has missed four scheduled shifts so leave-of-absence information can be provided per policy.
- Serve as a liaison between employees, program leadership, medical providers, third-party administrators, and insurance carriers.
- Develop, implement, and support return-to-work plans, including identifying temporary light-duty assignments when current positions cannot accommodate restrictions.
- Maintain an active list of BHN-approved urgent care locations for employee injury referrals.
- Maintain organized electronic injury files, including claims correspondence, medical records, and OSHA-related documentation.
- Maintain and update OSHA 300 logs and complete OSHA 301 forms in accordance with OSHA 29 CFR Part 1904.
- Prepare and distribute annual OSHA 300A postings and Massachusetts Industrial Accidents Notices within required timelines.
- Report OSHA recordkeeping data to the Bureau of Labor Statistics and submit required 300A data to OSHA annually.
- Review and triage incident reports within the ICI database for accuracy and clarity.
- Support the Corporate Incidents and Investigations Supervisor in screening incident reports using BHN’s risk determination matrix.
- High School Diploma or GED required; Associate degree preferred.
- Minimum of three years of experience processing workers’ compensation claims or related experience preferred.
- Working knowledge of OSHA Recordkeeping Regulations (29 CFR Part 1904).
- Basic knowledge of Massachusetts workers’ compensation laws and regulations, including MA 452 CMR and M.G.L. Chapter 152.
- Advanced computer proficiency with the ability to manage databases and generate reports.
- Strong organizational skills with excellent attention to detail.
- Ability to work independently and manage multiple priorities in a time-sensitive environment.
- Excellent verbal and written communication skills.
- Demonstrated professionalism and strong customer service skills when working with employees and external partners.
- Ability to maintain confidentiality of sensitive and protected information.
