ESSENTIAL DUTIES AND RESPONSIBILITIES
Document Control & Administration
- Maintain organized and current project files, including contracts, change orders, RFIs, submittals, meeting minutes, and correspondence.
- Log, track, and distribute RFIs and submittals; follow up with the General Contractor, engineers, and internal teams to ensure timely responses.
- Prepare, format, and distribute project meeting agendas and minutes under the direction of the Project Manager.
- Maintain and update change order logs, subcontract logs, and permit tracking registers.
- Assist in the preparation and distribution of project status reports and schedule updates.
- Ensure all project documentation is filed accurately and accessible to the project team in accordance with company standards.
Preconstruction Support
- Assist the Project Manager in reviewing project plans, specifications, and scope documentation prior to project kick-off.
- Support preparation of project kick-off meeting materials, including scope summaries, schedule drafts, and subcontractor contact sheets.
- Help coordinate the collection and processing of permits, bonds, insurance certificates, and other preconstruction requirements.
- Assist in the review and organization of subcontract documents and vendor agreements as directed.
Schedule & Field Coordination Support
- Assist the Project Manager in maintaining and updating project schedules; track schedule milestones and flag deviations for PM review.
- Support field coordination efforts by relaying schedule updates, scope clarifications, and directives between the Project Manager and field supervisors.
- Attend site visits with the Project Manager; document field conditions, production observations, and open items.
- Track and follow up on open action items from project meetings and field visits.
- Assist in coordinating Survey team requests, site access requirements, and subcontractor mobilization activities.
Financial & Billing Support
- Assist the Project Manager in reviewing and organizing supplier, vendor, and subcontractor invoices for approval.
- Support the preparation of pay application backup documentation and cost allocation records.
- Help maintain cost tracking logs and assist in compiling data for cost-to-complete and WIP updates.
- Track and document timesheet and equipment charge submissions for Project Manager review and approval.
- Identify and report any apparent billing discrepancies or unbilled cost items to the Project Manager.
Change Order Support
- Assist the Project Manager in identifying, documenting, and pricing potential change order items.
- Prepare change order request forms and supporting documentation for Project Manager review prior to submission.
- Maintain current change order logs for both prime contract and subcontract scopes.
Project Closeout Support
- Assist in compiling closeout documentation packages, including as-builts, lien waivers, warranty documents, and final inspection records.
- Track outstanding punch list items and follow up on resolution status.
- Support final pay application preparation and retainage release documentation.
General Responsibilities
- Attend all required project meetings, taking notes and distributing minutes as assigned.
- Communicate proactively with the Project Manager regarding project status, open issues, and any concerns observed in the field or in project documentation.
- Adhere to all company safety policies, OSHA standards, and applicable regulatory requirements at all times.
- Pursue professional development through on-the-job learning, mentorship from the Project Manager, and any assigned training programs.
- Perform additional duties as assigned in response to project or business needs.

MINIMUM QUALIFICATIONS
Education & Experience
- Bachelor’s degree in civil engineering, construction management, or a related field preferred; relevant internship or field experience is a plus.
- 0–2 years of experience in construction, engineering, or a related field; prior exposure to heavy civil, earthwork, or site development projects is preferred.
- Prior internship, co-op, or part-time experience in a construction project management environment is strongly preferred.
Technical Skills
- Basic ability to read and interpret civil drawings, grading plans, and project specifications; willingness to develop this skill further on the job.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); strong Excel skills for cost tracking and log management are a plus.
- Exposure to or willingness to learn construction ERP and project management software (e.g., Viewpoint, Procore, or similar).
- Basic familiarity with construction scheduling concepts; exposure to CPM scheduling software is a plus.

Work Conditions
- Standard hours are Monday through Friday, 8:00 AM – 5:00 PM; additional hours may be required based on project demands.
- Position requires periodic field site visits; must be physically capable of navigating active earthwork construction sites.
- Must be fluent in English (read, write, and speak).
ORGANIZATIONAL RELATIONSHIPS
Reports directly to the assigned Project Manager. Works closely with field supervisors, Project Accountants, the Survey team, and subcontractor representatives as directed. Interfaces with General Contractors primarily through the Project Manager.
