He/She provides records information for summaries and insurance reports, as may be required. The Central Supply Manager is is responsible for the ordering, receiving, inventory, and distribution of medical and non-medical supplies throughout the long-term care facility. This role ensures that resident care units and departments are adequately stocked with necessary supplies and equipment in accordance with regulatory guidelines and infection control practices.

The Medical Records Manager maintains patient/resident records containing all items required by State and Federal regulations. He/She provides records information for summaries and insurance reports, as may be required. The Central Supply Manager is is responsible for the ordering, receiving, inventory, and distribution of medical and non-medical supplies throughout the long-term care facility. This role ensures that resident care units and departments are adequately stocked with necessary supplies and equipment in accordance with regulatory guidelines and infection control practices.
Medical Records Responsibilities
- Maintains accurate order of open charts.
- Prepares closed charts.
- Assumes responsibility for diagnostic admission and discharge coding index.
- Ensures that all admission orders are signed by the attending physician in a timely manner.
- Ensures all Medicare Certifications and Re-certifications are signed in a timely manner.
- Notifies physicians in reference to compliance of customer visits and progress notes.
- Communicates with pharmacy in reference to additions/deletions of customer MAR’s, POF’s.
- Assists nursing staff with monthly editing.
- Maintains statistical data as directed.
- Answers telephone inquires and responds to correspondence.
- Types and distributes advance notices for admissions, re-admissions, room changes, status changes, discharges, etc., to appropriate staff.
- Obtains all appropriate departmental and physicians’ signatures on discharge charts within 30 days of discharge.
- Inventory Management:
- Monitor supply levels and maintain accurate inventory records.
- Reorder supplies based on usage trends and par levels.
- Perform routine inventory counts to prevent shortages or overstocking.
- Receiving & Stocking:
- Receive shipments, check for accuracy against packing slips, and inspect for damage.
- Label, date, and store supplies appropriately following infection control procedures.
- Rotate stock to ensure first-in, first-out (FIFO) usage.
- Distribution:
- Deliver supplies to nursing stations, resident rooms, and other departments as needed.
- Assemble supply carts and kits (e.g., wound care, IV kits) for clinical use.
- Respond promptly to urgent supply requests.
- Compliance & Documentation:
- Maintain compliance with state and federal regulations regarding supply handling and storage.
- Ensure all equipment and supplies meet quality and safety standards.
- Keep accurate logs of supplies issued and received.
- Coordination & Communication:
- Coordinate with nursing staff and department heads to anticipate and meet supply needs.
- Report low stock levels or supply issues to supervisors.
- Collaborate with vendors for order fulfillment or product questions.
- Infection Control & Safety:
- Follow proper infection control procedures when handling and storing medical supplies.
- Clean and disinfect storage areas regularly.
- Handle and dispose of expired or contaminated supplies appropriately.
- High school diploma or GED required.
- 1 year experience in medical records.
- Prior experience in central supply or materials management, preferably in healthcare or LTC setting.
- Basic computer skills (for inventory and ordering systems).
- Ability to lift up to 50 lbs and stand or walk for extended periods.
