Job Summary We are seeking a highly organized, meticulous, and reliable File Clerk to manage and maintain our company's comprehensive filing systems. The successful candidate will be responsible for ensuring the accurate and efficient storage, retrieval, and organization of both physical and digital documents, playing a crucial role in maintaining data integrity and accessibility for various departments. Key Responsibilities: File and retrieve physical and digital documents (e.g., reports, correspondence, invoices, contracts, employee records) accurately and efficiently according to established procedures (alphabetical, numerical, chronological, or subject-based systems). Sort, categorize, label, and file documents in designated cabinets, shelves, databases, or electronic systems. Ensure all documents are properly coded and indexed for easy retrieval. Scan physical documents into digital formats and upload them to relevant databases or document management systems (DMS). Perform basic data entry to update records and maintain file integrity. Regularly audit files to ensure accuracy, completeness, and proper organization. Identify and correct misfiled documents and missing information. Prepare documents for archiving or destruction in accordance with company retention policies and legal requirements. Maintain an organized and clean filing area. Respond promptly to requests for file retrieval from authorized personnel, ensuring timely access to critical information. Log document issuances and returns to track file movements. Handle sensitive and confidential information with the utmost discretion and integrity. Adhere to all company policies, data privacy regulations (e.g., HIPAA, GDPR, if applicable), and record-keeping standards. Support: Assist with other administrative tasks as needed, such as copying, printing, shredding documents, and ordering office supplies related to filing. Experience: 1 years of experience in a file clerk, administrative assistant, or similar role with a focus on document management. Ability to systematically arrange and manage a high volume of documents. Attention to Detail & Accuracy: Meticulous in filing, data entry, and quality control. Basic to intermediate skills in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with general computer operations. Confidentiality: Proven ability to handle sensitive information with discretion.
