Position Summary
Our client is seeking a highly organized, proactive, and customer-focused Office Administrator to support daily office operations and administrative functions. This individual will play a key role in creating an efficient and welcoming workplace environment while providing administrative support to leadership and assisting with employee engagement initiatives.

Office Operations & Facilities
- Serve as the primary point of contact for visitors, incoming calls, mail, and office-related inquiries.
- Maintain day-to-day office operations and ensure a professional, organized workplace.
- Coordinate office supply ordering and inventory management.
- Partner with vendors and building management to address facility needs and office maintenance requests.
- Support workspace management and assist employees with office logistics.
- Coordinate meeting rooms, office events, and other operational activities.
- Assist with planning and coordinating employee events, team-building activities, and recognition programs.
- Support engagement initiatives that promote a positive workplace culture.
- Maintain calendars and schedules for company events and activities.
- Coordinate vendors, budgets, and logistics related to employee events.
- Provide administrative support to leadership and key stakeholders.
- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Prepare expense reports, reimbursement requests, and other administrative documentation.
- Organize meeting logistics, materials, and communications.
- Assist with special projects and additional administrative tasks as assigned.
- Support operational initiatives and department projects.
- Assist with process improvements and project coordination efforts.
- Manage multiple priorities and deadlines in a fast-paced environment.
- 2-4 years of experience in office administration, executive support, office management, operations, or a related field.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and adapt to changing business needs.
- Strong interpersonal skills and a customer-service mindset.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Comfortable working independently while collaborating effectively with a team.
- Experience coordinating meetings, events, vendors, or office operations is preferred.
- Office management or workplace services experience.
- Executive or administrative support experience.
- Event planning or employee engagement experience.
- Vendor management and facilities coordination.
- Experience supporting multiple stakeholders in a professional office environment.
