IP Prosecution Legal Assistant

Beacon Hill Legal is seeking an IP Prosecution Legal Assistant to join a nationally recognized law firm in Chicago. This is a full-time, permanent position offering full benefits, a hybrid work schedule, a 37.5-hour work week, and competitive compensation ranging from $80,000-$110,000, dependent on experience.

Skills required and Job Duties include the following:

• Prior experience supporting patent and/or trademark prosecution teams in a law firm or professional services environment
• Provide administrative and procedural support to IP attorneys and paralegals handling patent and trademark matters
• Prepare, format, and file routine USPTO forms and correspondence at attorney direction
• Review incoming correspondence from the USPTO, WIPO, and foreign associates, and route materials appropriately
• Maintain and update IP dockets and calendaring systems, track deadlines, and circulate reminders to attorneys and paralegals
• Assist with matter intake, file setup, and document organization within the firm's document management system
• Draft and proofread routine client and foreign associate correspondence related to prosecution status and filings
• Coordinate with vendors, internal departments, and foreign agents on administrative aspects of patent and trademark matters
• Assist with trademark search organization and records maintenance (non‑substantive)
• Provide general IP administrative support, including reporting, file audits, and data entry as needed
