Executive Support to the CEO:
- Manage the CEO’s complex calendar, priorities, and daily workflow.
- Coordinate domestic and international travel, preparing detailed itineraries and ensuring seamless logistics.
- Serve as a primary liaison for internal and external stakeholders.
- Anticipate needs proactively, staying several steps ahead of the CEO at all times.
- Provide direct PA support to the CEO and his wife, including scheduling, appointments, errands, gifting, and vendor coordination.
- Liaise with household staff, family office partners, and external vendors to maintain smooth personal and home operations.
- Manage insurance renewals, household contracts, purchasing, inventory, and organizational systems.
- Support the family’s philanthropic and foundation commitments, including scheduling, documentation, research, and follow-up.
- Coordinate communication with foundation staff, board members, and external partners.
- Assist with purchasing, cataloging, and maintaining records related to the family’s art collection.
- Coordinate logistics, transportation, storage, insurance, and appraisals.
- Maintain meticulous inventories and ensure accuracy across all art-related documentation.
- Build structure in areas where processes are not yet established; streamline workflows and enhance overall efficiency.
- Triage and resolve time-sensitive issues with discretion and sound judgment.
- Remain flexible, steady, and solution-oriented, stepping into whatever is needed—large or small.
- Bachelor’s degree required; strong academic background preferred.
- 2–5 years of EA/PA or administrative experience supporting a senior executive or UHNW family.
- Highly intelligent, polished, and capable of independent problem-solving.
- Extraordinary attention to detail and a proactive, anticipatory approach.
- Strong communication skills and ability to build trust quickly with the CEO, his family, staff, and external partners.
- Comfortable balancing high-level executive support with hands-on personal responsibilities.
- Discreet, professional, emotionally intelligent, and able to maintain strict confidentiality.
- Experience with art collections, insurance, foundations, or UHNW operations is a strong plus.
- Able to remain calm and composed in a fast-paced, high-expectation environment.
