Job Description
We are seeking a Program Support – Test Proctor and Administrative Assistant to join our team supporting the MBTA Operations Training Department. The ideal candidate will have strong experience in test proctoring, learning management systems, and high-volume data entry and a proven ability to maintain compliant testing environments and deliver accurate administrative outputs under shifting schedules.
Primary Location and Potential Travel
- Primary: North Quincy Computer Lab, 200 Newport Ave, Quincy, MA 02171.
- Rare travel as needed to the following test sites: Heavy Rail Training School (275 Dorchester Avenue, Building 15-72, South Boston, MA 02127), South Station Training School (700 Atlantic Ave, Boston, MA 02111), Bus Training School (32 Alford St., Bld. #12, Charlestown, MA 02129), Light Rail Training School (331 Grove St, Auburndale, MA 02466).
Schedule and Coverage
The testing site requires approximately 48 hours of weekly coverage. Individual contractors will be scheduled for up to 37.5 hours per week based on operational need and coordinated with the Supervisor.
- North Quincy Computer Lab core coverage:
- Monday, Wednesday, Friday: 7:00 AM – 3:00 PM.
- Tuesday, Wednesday: 6:00 AM – 2:00 PM.
- Once per week overnight, rotating between Tuesday and Thursday: 7:00 PM – 3:00 AM.
- Proctor operations include primarily daytime coverage with occasional overnight sessions. Overnight assignments may use split shifts or partial day adjustments to ensure adequate rest. Overnight coverage may rotate among contractors and is not guaranteed weekly for any individual.
Responsibilities:
- [PRIMARY] Serve as on-site Test Proctor and point of contact for scheduled testing sessions.
- Greet and check in employees. Verify identity and test eligibility. Assign tests in the learning management system and confirm access.
- Provide testing rules and procedures. Monitor testing rooms for compliance. Enforce policies to prevent use of unauthorized materials.
- Troubleshoot minor access or login issues. Maintain a quiet, orderly, distraction-free environment. Escalate irregularities or misconduct to the supervisor.
- [SECONDARY] Provide administrative support, including high-volume data entry, spreadsheet updates, records organization, scanning, printing, and digital archiving.
- Transfer data from paper to digital systems. Operate common office equipment. Search, retrieve, and process file and data requests.
- Support special projects requiring significant data entry. Evaluate workflow and recommend resource allocation or process adjustments.
- Work proactively and independently. Adhere to MBTA rules, regulations, collective bargaining agreements if applicable, and EEO, anti-discrimination, anti-harassment, and anti-retaliation policies.
Required Skills & Qualifications:
- Experience in test proctoring or invigilation, including identity verification and policy enforcement.
- Proficiency with learning management systems and user access workflows.
- Strong computer skills with advanced Microsoft Excel and accurate data entry.
- Ability to troubleshoot basic technical issues and follow escalation procedures.
- Excellent organization, attention to detail, and recordkeeping in a paperless environment.
- Clear communication and customer service skills in a testing setting.
- Scheduling flexibility for early mornings and occasional overnight coverage.
Preferred Skills:
- Experience in transportation, public sector training, or unionized environments.
- Familiarity with MBTA policies, testing protocols, or similar regulatory standards.
